HR Support Specialist
Job description
The HR Support Specialist provides administrative and clerical support for the day-to-day operations of the Human Resources department. This role supports the Senior Director of Human Resources, HR leaders, and HR Partners by coordinating administrative activities, maintaining accurate personnel and financial records, and serving as a resource for Mercyhealth partners.
The HR Support Specialist also assists with special projects and other departmental initiatives as needed. This position may require flexibility in work hours, including occasional overtime during peak business periods, and performs other duties as assigned.
Location: MercyCare Building - Janesville, WI
Shift: Monday - Friday, 7:30AM - 4:30PM
Schedule: Full Time (40 hrs)
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Greets applicants, visitors, partners and customers by acknowledging them immediately with a warm welcome.
- Answers telephones timely and in a professional manner; screens and directs calls appropriately.
- Schedules appointments, meetings, seminars and other functions for the Senior Director and assists HR leadership with clerical duties as requested.
- Orders and maintains office supplies at appropriate levels within budgetary guidelines. Maintains and orders badge backers as needed.
- Sorts, screens and distributes internal and external mail. Prepares external shipping labels or certified mail as requested.
- Processes reimbursements for certifications, licensure and/or tuition assistance; monitors terminations for repayment/collections. Processing reimbursements for JMC clothing allowances.
- Updates/audits certification, life support or licensure in Workday and assists with primary source verifications.
- Places floral orders per the policy guidelines and assists in processing the payment for floral orders.
- Processes HR department invoices as requested.
- Maintains an organized office by updating employment posters and special activity fliers as needed.
- Assists with leadership list/labeling projects and maintains department forms, phone lists and room calendars as directed.
- Receives subpoenas, routing them to the Manager of Labor Relations and Compliance or Senior Director for processing. Responds to personnel file requests.
- Coordinates Partner Crisis Fund applications and ensure payments are made promptly once a quorum is reached.
- Processing Community Service Volunteer requests.
- Managing receipts for the Senior Director’s corporate mastercard.
- Monitor and respond timely to Workday case management.
- Manage former School of Nursing transcripts.
- Assists with New Hire Orientation as requested.
- Assists with VP Forums and System Leadership meetings.
- Coordinates vetting of partners between Marketing and HRBPs.
- Support HRBPs with Attendance and Dependability corrective action processes.
- Provides administrative support for special projects.
- Attends meetings and participates on committees as directed.
EDUCATION & EXPERIENCE
- High school diploma or general education degree (GED).
- Three years of experience and/or training in secretarial field, or equivalent combination of education and experience preferred.

- Excellent keyboarding skills
- Ability to handle a multi-line phone
- Excellent organizational, communication, and time-management skills.
- Computer literate with knowledge of Microsoft Office Applications.
- Excel in customer service skills.
