Job description

A Day in the Life 

This position is onsite 5 days a week. 

This position supports assigned executives by maximizing their effectiveness and streamlining daily operations through calendar management, preparation of key documentation, coordination of communication and follow‑up, and providing comprehensive administrative support.

  • Calendar Management: Schedule and adjust meetings, coordinate availability, and support efficient time and travel planning.
  • Documentation: Prepare and refine presentations, reports, agendas, and other materials.
  • Project Support: Organize materials and assist with interviews, regulatory submissions, research, and special projects.
  • Task & Communication Support: Facilitate communication, track tasks, and support daily calendar and meeting workflows.
  • Proactive Support: Anticipate needs, identify issues, and implement process improvements to enhance leader effectiveness.

 

What’s Required  

  • Associate’s degree or equivalent, with 5+ years of executive level administrative or office coordination experience.
  • Proficient in MS Office (PowerPoint, Word, Excel) and cloud-based tools; able to learn new technology quickly.
  • Strong professional communication skills, both written and verbal.
  • Excellent organizational skills with a continuous improvement mindset.
  • Proven ability to manage confidential information with discretion.
  • Works independently, adapts to changing priorities, takes initiative, and collaborates well with others.
