Job description
Spring Scaffolding LLC is seeking a detail oriented Purchasing Data Entry Clerk to support our Purchasing and Accounting teams. This position is responsible for accurately entering vendor invoices, processing purchase orders, maintaining purchasing records, and ensuring data integrity across multiple systems. This is a temporary position with the potential to become permanent based on performance and business needs.
Essential Responsibilities
- Process and enter vendor invoices into Sage 100 software.
- Match invoices to purchase orders, work orders, and supporting documentation.
- Code invoices to the appropriate job numbers, cost codes, and general ledger accounts.
- Convert approved purchase orders into vendor invoices and post transactions in Sage 100.
- Review invoices for accuracy, pricing, approvals, and required documentation.
- Maintain organized electronic purchasing and vendor files.
- Communicate with vendors to obtain missing invoices, statements, and supporting documents.
- Collaborate with Purchasing, Operations, and Accounting to resolve invoice discrepancies.
- Perform other administrative and data entry duties as assigned.
Qualifications
- High school diploma or equivalent required. Associate degree in Accounting, Business, or a related field preferred.
- One to three years of purchasing, accounts payable, or data entry experience preferred.
- Experience using Sage 100 is required.
- Advanced proficiency in Microsoft Excel, including formulas, sorting, filtering, and pivot tables.
- Strong attention to detail with excellent organizational and time management skills.
- Ability to manage multiple priorities while maintaining a high degree of accuracy.
- Construction industry experience is a plus.
