We are seeking a Sales Coordinator to support our Western Canada Sales Team in a dynamic and fast-paced environment.
Position Summary
The Sales Coordinator, Western Canada provides support to the Western Canada Sales Team through reporting, analysis, coordination, and operational support. This role works closely with Sales Managers, Marketing, Logistics, and external partners to ensure reporting, sales activities, events, and customer requests are executed accurately and efficiently.
Key Responsibilities
Sales Analysis & Reporting (20%)
Partner with Provincial Sales Managers and the Western Canada Director of Chain Accounts to support sales growth through reporting, presentations, and analysis.
- Perform analysis as needed to identify market trends and create meaningful business cases which will:
- Assist in targeting top accounts with core SKUs
- Identify distribution gaps and sales opportunities
- Support quarterly sales objectives
- Assist in BC/AB quarterly sales presentation development
- Chain/territory data analysis for supplier presentations
- Update chain tracker pitches and provide results
- Liaise with Chain Buyers to provide information and data when required
- Build and update chain account LTO grids
- Track AWSM chain account flyer and newspaper ads
- Work with Director of Chain Accounts / Provincial Sales Managers to communicate key account information (e.g. upcoming program activity)
- Produce reports to track specific account performance as directed by Sales Managers (e.g. on-premise features, country of origin reports)
Event Coordination (20%)
Coordinate execution of sales and marketing events in support of Sales and Marketing Managers.
- Coordinate supplier itineraries and ensure in-market execution requirements are met
- Maintain supplier travel schedules and provide updates as required
- Plan and coordinate special events and tastings across BC and support Prairie events as required
- Support major events including Family of Wines, Vancouver International Wine Festival, IVSA, Stampede, Winnipeg Wine Festival, and other regional activations
- Coordinate logistics including product ordering, staffing, setup/teardown, materials, timelines, and compliance requirements
- Ensure event materials, samples, POS, and execution standards meet AWSM expectations
- Confirm product accuracy, vintages, delivery timelines, and post-event cleanup requirements
Sales Team Support & Coordination (30%)
Support Sales Team execution by coordinating requests, consolidating feedback, and ensuring timely delivery of materials and information.
- Support requests for marketing assets (sell sheets, shelf talkers, backers, graphics, digital assets)
- Monitor inventory of sales materials and coordinate replenishment requests
- Consolidate field feedback for Marketing, including competitor activity and activation opportunities
- Coordinate tasting schedules and ensure tasters have required materials and information
- Collect and organize OCM field execution evidence
- Maintain weekly allocation reports and daily rep requests
- Maintain weekly unable-to-ship reports and highlight issues
- Collaborate with Graphic Designer and Marketing to manage POS costs and shipping efficiency
Sales Operations & CRM Support (30%)
Support operational processes and reporting systems that enable sales execution and performance tracking.
- Manage XRM and internal target systems (training provided)
- Input quarterly sales targets and maintain reporting across Western Canada markets
- Run weekly and monthly performance updates as required
- Calculate performance vs KPI targets and report results to Sales Managers
- Manage Liquify in conjunction with the BC Sales Manager, including inventory reports, WPP/TPR updates, and product requests
- Coordinate direct customer ordering processes (Liquify and other domestic systems)
- Coordinate periodic 306/7/9 budget reporting as directed by Sales Managers
- Input Concur expenses
- Coordinate quarterly sales meetings and prepare presentation materials
Administrative Support
- Phone coverage as scheduled
- Holiday and out-of-office coverage support for reception/front desk
- Cross-functional support with Sales, Marketing, Operations, and Finance as required
Qualifications
Experience
- Experience in sales coordination, reporting, data analysis, or business support preferred
Skills
- Strong analytical skills and ability to interpret sales data
- Excellent organizational and time management skills
- Strong written and verbal communication skills
- High attention to detail and accuracy
- Ability to manage multiple priorities in a fast-paced environment
Technical Skills
- Advanced Microsoft Excel, PowerPoint, and Word
- CRM and reporting system experience considered an asset
Physical Requirements
- Ability to lift up to 41 lbs and support event setup/teardown activities
