Tax Planning Coordinator / Associate Tax Planner Part-Time | In-Person | Thousand Oaks, CA
Position Summary
Tax Prose is seeking a highly organized, client-focused, and detail-oriented professional to support our Senior Tax Planner in delivering exceptional tax planning services to business owners and high-income individuals.
This position serves as the primary coordinator for the entire tax planning client experience—from onboarding and data gathering through strategy implementation and ongoing follow-up. The ideal candidate enjoys working directly with clients, coordinating complex projects, learning advanced tax concepts, and helping clients understand and implement tax-saving strategies.
This role combines client service, project management, tax planning support, and light tax preparation responsibilities. It is an excellent opportunity for someone interested in growing within the tax advisory profession while working closely alongside experienced Senior Tax Planners.
We are looking for someone who operates with an ownership mindset—an individual who identifies what needs to be done, takes initiative without being asked, and follows through until the task, project, or client issue is fully resolved.
What You'll Do
Client Experience & Relationship Management
•
Welcome new tax planning clients and guide them through the onboarding process
•
Build strong relationships with clients through in-person meetings, phone calls, Zoom meetings, and email communications
•
Establish timelines, expectations, and next steps throughout the engagement
•
Follow up proactively on outstanding documentation and implementation items
•
Coordinate meetings and maintain regular communication with clients
•
Ensure clients feel supported, informed, and cared for throughout the planning process
Tax Planning Coordination
•
Assist the Senior Tax Planners with tax planning engagements and implementation projects
•
Organize and review client information for completeness and accuracy
•
Prepare planning deliverables and implementation checklists
•
Track strategy implementation and client action items
•
Coordinate with clients, bookkeepers, payroll providers, attorneys, and financial advisors as needed
•
Help monitor deadlines and ensure planning recommendations are completed
Tax & Technical Support
•
Assist with tax return preparation and review support
•
Enter and organize data within tax software programs
•
Perform basic tax research and analysis
•
Assist with projections, estimates, and planning calculations
•
Prepare draft correspondence and supporting documentation
•
Participate in client meetings and assist with presenting tax-saving opportunities
•
Over time, help explain and deliver selected tax strategies to clients under the supervision of the Senior Tax Planner
Operations & Administrative Support
•
Maintain client records and workflow systems
•
Track internal projects and action items
•
Support scanning, mailing, document management, and portal administration
•
Assist with firm initiatives and process improvements
•
Help maintain operational efficiency across the firm
Qualifications
Experience
•
Minimum 2 years of experience in accounting, tax, bookkeeping, financial services, client service, or project coordination
•
Experience in a CPA, tax, bookkeeping, wealth management, or financial advisory firm strongly preferred
Skills

Technical Experience
Preferred experience with
•
Tax software programs
•
QuickBooks Online
•
TaxDome or similar client portal software
•
Microsoft Office and Google Workspace
•
CRM and workflow management systems
Education
•
Associate's or Bachelor's Degree required
•
Accounting, Finance, Business Administration, or related field preferred
•
EA, CPA candidate, accounting student, or tax preparation experience is a significant plus
License
Tax license is required - CTEC, EA or CPA

Schedule

In-person position located in Thousand Oaks, California
•
Monday through Friday
•
Approximately 9:00 AM – 2:00 PM or 3:00 PM
•
Part-time position with potential for growth
Compensation
Depends on Experience, Education and the level of your Tax License
Compensation will be based on experience, technical tax knowledge, client-facing abilities, and capacity to contribute to tax planning engagements.
