Job Opportunity: Administrative Officer / Personal Assistant
In house, Paphos, Cyprus
Our Client is seeking a dynamic, highly organized individual to fulfill the dual role of Administrative Officer and Personal Assistant (PA) . This position is central to maintaining smooth daily operations, providing comprehensive administrative support to the broader team while directly assisting the CEO in a fast-paced business environment.
Key Responsibilities
The successful candidate will make a significant impact across corporate administration and executive support by handling the following duties:
- Executive Assistance: Manage and maintain the CEO's complex schedule, including coordinating meetings, tracking appointments, organizing travel logistics, and providing timely reminders to ensure optimal time management.
- Front-of-House & Communication: Warmly greet business clients and guests with high professionalism. Promptly manage, screen, and direct incoming phone calls, messages, and emails to the correct individuals or departments.
- Office Operations: Serve as a central point of contact for internal employee queries. Manage office supplies inventory, oversee ordering to maintain efficient stock levels, and coordinate company schedules.
- Event Coordination: Plan and organize all company-related proceedings for events, training sessions, conferences, and seminars, collaborating effectively with external organizations, suppliers, and stakeholders.
- Data & Document Management: Maintain updated company databases and establish an organized filing system. Assist with document management, accurately track financial records, and prepare regular reports on expenses and office budgets.
- Executive Reporting: Generate comprehensive reports, presentations, briefs, and provide ad hoc administrative support as requested by the CEO or management team.
Requirements
To excel in this role, the Client is looking for candidates who possess the following qualifications:
- Experience: Proven professional experience as an Administrative Officer, Administrator, Personal Assistant, or a similar corporate support role.
- Technical Skills: High level of computer literacy, with strong proficiency in Google Workspace applications (Google Docs, Sheets, and Slides).
- Communication: Advanced, fluent command of the English language (both verbal and written). Professional knowledge of any additional language is considered a distinct advantage.
- Core Competencies: Exceptional organizational, task-management, and time-management skills. Candidates must demonstrate sharp attention to detail and strong, proactive problem-solving abilities.
