Job description

How does this Position contribute to our Community?

The People and Prosperity Trainee provides administrative support to the People & Prosperity functions of Council. The role contributes to the delivery of human resources creating a positive employee experience by assisting with recruitment, onboarding, training, records management and workforce administration activities.

What does this Position do?

The role is designed to develop practical workplace skills and knowledge in human resources, administration and local government operations.

  • Assists with day-to-day administrative tasks that support People & Culture activities
  • Supports employee lifecycle processes, including recruitment, onboarding and training administration
  • Maintains employee records, systems and documentation under supervision
  • Provides administrative support to the People & Culture team and assists with the preparation of workforce information and reports
  • Develops knowledge and skills through workplace learning, mentoring and formal study

Key Responsibilities

Human Resources Administration

  • Assist with administrative tasks across the employee lifecycle
  • Prepare standard HR documents, letters and forms under guidance
  • Maintain employee records and HR systems accurately
  • Learn and follow records management, privacy and governance requirements

Recruitment & Onboarding Support

  • Assist with recruitment administration, including:
  • Posting job advertisements
  • Organising applications
  • Scheduling interviews
  • Help prepare onboarding materials, including:
  • Induction documentation
  • New starter information packs
  • Assist with collecting and monitoring pre-employment documentation and checks.

Training & Development Administration

  • Assist with organising training bookings and course registrations
  • Maintain training records and update compliance registers
  • Support the implementation of training and development activities
  • Assist with tracking attendance, certifications and mandatory training requirements

Financial & Procurement Administration

  • Assist with raising purchase orders and processing invoices.
  • Maintain records relating to training and HR expenditure.
  • Support budget administration activities and record keeping.
  • Employee Services & Coordination
  • Assist with coordinating employee resources, including:
  • Uniforms
  • ID cards and photographs
  • System access requests
  • Support employee recognition, milestone tracking and staff communications.
  • Assist with wellbeing and employee engagement initiatives.

Records & Compliance

  • Maintain employee records in accordance with Council requirements.
  • Assist with filing and record keeping in line with:
  • State Records Act requirements
  • Council policies and procedures
  • Support compliance activities, audits and reporting requirements.

Support to Leadership and Projects

  • Provide administrative support to the Supervisor People and Customer Experience and General Manager People & Prosperity.

Key responsibilities

  • Follow safe work procedures and use equipment correctly
  • Report hazards, incidents, and near misses promptly
  • Participate in WHS training and consultation activities

Any other duties within the scope of the role as reasonably directed.

Essential Qualifications, Experience, Knowledge & Skills

  • Completion of Year 12 or equivalent, or currently undertaking relevant studies (desirable).
  • Interest in Human Resources, Business Administration, Customer Service or a related field.
  • Willingness to learn and develop skills in Human Resources and workforce administration.
  • Good attention to detail and ability to maintain accurate records and information.
  • High computer skills, including Microsoft Office applications.
  • Ability to follow instructions, policies and procedures.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Effective verbal and written communication skills.
  • Good organisational skills and the ability to manage tasks and deadlines with support.
  • Positive attitude, reliability and commitment to learning.

Highly regarded but not essential Qualifications, Experience, Knowledge & Skills

  • Experience in administration
  • Understanding of local government or public sector environments.
  • Interest in developing a career in Human Resources, People & Culture, workforce planning or organisational development.

Learning & Development

  • Successfully progresses through the traineeship program and demonstrates ongoing skill development.

Administration Accuracy

  • HR, recruitment, training and workforce administration tasks completed accurately and within agreed timeframes.

Records & Compliance

  • Employee records and documentation maintained in accordance with Council policies and legislative requirements.

Customer & Team Support

  • Provides professional, responsive and reliable support to employees, managers and the People & Culture team.

Workplace Contribution

  • Demonstrates initiative, reliability, professionalism and a positive contribution to team and organisational objectives.
