Key Responsibilities
- Manage and maintain a productive hygiene schedule by confirming appointments, filling openings, contacting overdue patients, and making schedule adjustments as needed
- Monitor the daily schedule, communicate appointment changes to providers, notify clinical staff when patients arrive, and follow office protocols for late arrivals and rescheduling
- Answer and manage incoming phone calls, emails, and text messages promptly while providing exceptional customer service to patients
- Welcome patients warmly, assist with check-in and check-out as needed, and ensure a positive patient experience from arrival to departure
- Maintain accurate patient records by updating paperwork, documenting patient communications, scanning documents, and ensuring all information is current
- Coordinate new patient communications, including welcome emails and documentation for new and emergency patients
- Keep the reception area professional, organized, and staffed to ensure smooth front office operations
- Prepare for daily morning huddles and support efficient office workflow through organization and communication
- Participate in staff meetings, training, and performance development while contributing to continuous improvement and problem-solving
- Foster a positive, respectful, and collaborative team environment through professionalism, effective communication, and a patient-first attitude
- Assist with additional administrative and operational duties as needed to support the success of the practice
Qualifications
- Some hands-on experience is highly preferred
