We are looking for an Administrative Assistant IV to support our Engineering team and related capital work. This role is based in a busy technical office and helps keep day-to-day work organized, documented, and moving. The successful candidate will support safety administration, purchasing and payroll tracking, office coordination, team information management, project-related administration, and meeting support.

This is a good fit for someone who is organized, reliable, comfortable learning new systems, and interested in supporting a team that delivers engineering and capital work across the business. Direct experience in engineering or utilities is helpful, but not required. We are looking for strong administrative fundamentals, good judgment, and a willingness to learn.

This position is based in Lakeside/Beechville, Nova Scotia.

Key elements of this role include

  • Safety Administration Support: Maintain safety records, trackers, meeting materials, action logs, and follow-ups for the Engineering team. Help keep safety information organized, current, and easy to access.
  • Purchasing, Payroll, and Vendor Administration: Support routine purchasing, payroll, invoice, vendor, and cost-tracking administration by preparing information, entering or submitting records where assigned, tracking status, following up on missing information, and escalating issues to the appropriate owner.
  • Office and Team Administration: Provide general administrative support including calendar coordination, email support, document preparation, spreadsheets, presentations, supplies, office logistics, and day-to-day support for managers and team members.
  • Team Information Management: Maintain shared files, contact lists, distribution lists, templates, trackers, and SharePoint/Microsoft 365 workspaces so team information stays current and easy to find.
  • Meeting Coordination and Minutes: Schedule meetings, prepare agendas, collect materials, record minutes, track action items, and follow up with participants to help keep work progressing.
  • Project-Related Administrative Support: Provide administrative support for engineering and capital work, including meeting logistics, quote and invoice tracking, basic status updates, and organizing project-related records.
  • Support emergency power restoration activities outside regular business hours if called upon.

  • Grade XII education and a recognized Administration and/or Business Certificate, or an equivalent combination of education and experience.
  • Administrative, coordination, office support, customer service, finance support, project support, or similar experience.
  • Comfort working with Microsoft 365 tools such as Outlook, Word, Excel, PowerPoint, Teams, and SharePoint. Training can be provided for role-specific systems.
  • Ability to organize information, manage competing priorities, follow up on open items, and keep accurate records.
  • Good written and verbal communication skills, with the ability to work with employees, vendors, leaders, and technical staff.
  • Sound judgment, discretion, and the ability to handle confidential or sensitive information appropriately.
  • Experience with Oracle, PeopleSoft, PowerPlan, Maximo, purchasing, payroll, invoice processing, safety administration, or budget tracking would be considered an asset.
  • An interest in learning new tools and improving routine administrative processes would be considered an asset.
