Job description

Crafco, Inc. is seeking a Customer Service & Administrative Supervisor at our DeKalb, IL Sealant Plant.

Specific Duties

  • Proper use of companies ERP system, raw material ordering, purchase orders, production reporting and costing.
  • Oversee the taking and order entry for Roofing and Sealant customers
  • Scheduling of production for Roofing customers to meet customer orders.
  • Work closely with production personnel to maximize the schedule and ensure that customer delivery needs are met.
  • Coordinate and supervise shipping and receiving functions safely and according to directions from Plant Manager and per company policies.
  • Ensure that the office is staffed with appropriately qualified and trained personnel.
  • Maintain good relationships with sales, customers and production areas.
  • Management of inventory and cycle counts
  • Review and recommend continuous improvement processes for handling of products, shipping, and receiving methods.
  • Assure all shipments of products to customers have the correct product, part number, lot number, destination, timing, etc.
  • Analyze shipments to ensure the best utilization of equipment and most cost-effective methods of handling, based on terms of sales order.
  • Understand overall plant operations and establish good, positive work relationships with other departments
  • This position requires the ability to communicate well with customers and other departments.
  • Ensure all equipment assigned to the Shipping Department is maintained in clean, safe and sound mechanical condition. Notify Maintenance Supervisor or Plant Manager of any deficiencies in a timely manner for maintenance, as needed.
  • Responsible for the accuracy, organization, and safe and proper storage of product inventory and finished products prior to shipping.
  • Answer customer questions about material availability, current orders, shipments, billing and freight rates for orders.
  • Take new orders from customers via fax, phone, mail or e-mail. Match appropriate quote to order, calculate any additional charges for the order (freight, taxes etc.). Assign sales order numbers and enter the order information to the computer system.
  • Deal with customer concerns and problems related to orders, return goods, shipments etc. and ensure that the appropriate steps are taken to resolve these concerns within the parameters of company policy.
  • Keep customers updated on current order status and any issues which may affect their deliveries.
  • Actively contact customers to verify order status/needs prior to actual production of material and shipment of material.
  • Contact customers to encourage communication of orders - anticipate customer needs.
  • Estimate and quote freight rates for customer orders.
  • Maintain accurate files for orders, quotes and invoices.
  • Communicate with sales representatives as necessary regarding orders.
  • Manage the scheduling function for the bulk roofing products to provide customers with products which have been ordered within the requested time consistent with plant capabilities.
  • Understand the operating characteristics, production capabilities, quality control and shipping procedures for bulk materials.
  • Oversee the scheduling of inbound asphalt and/or oil trucks to coordinate these with outbound bulk shipments.
  • Other duties as assigned by supervisor.

Qualifications

  • High School Diploma or GED
  • Minimum 3 years' experience performing related job duties (interviewing, hiring, training and conducting performance reviews)
  • Minimum 3 years' experience related to Customer Service Experience
  • Minimum 3 years' experience shipping and receiving supervision in manufacturing, warehouse, or similar field.
  • Working knowledge of ERP system, Microsoft Office Suite, Excel, Power Point, Quote Works. SAP experience a plus.
  • Candidate must be accurate, have excellent time-management skills, team oriented, sensitive to confidential information, and be professional with regards to communication, maintaining a broad scope of internal and external relationships.
  • Must be able to meet the physical requirements of the role such as standing for long periods of time, bending, and/or lifting. May work in adverse conditions such as loud sounds, hot/cold temperatures when outdoors, etc. Ability to safely lift 50 lbs.
  • Quality certifications, Lean, Six Sigma, and/or Continuous Improvement backgrounds are preferred, and candidates with these attributes will have higher consideration.
