Job Summary
The Facilities Coordinator is responsible for providing essential operational and administrative coordination to ensure the smooth, efficient execution of daily facility operations. This role focuses on streamlining workflows, overseeing vendor management and procurement activities, maintaining critical maintenance documentation, and serving as a key point of contact for service providers to maintain a well-managed facility environment.
Key Responsibilities
- Facility Coordination & Operations Support
- Coordinate daily operational activities and provide hands-on administrative oversight to ensure seamless facilities maintenance.
- Maintain comprehensive, up-to-date records, documentation, and compliance reports related to facility operations and services.
- Liaise between internal departments and external service providers to ensure timely task completion and resolution of facility issues.
- Support the Facilities Executive/Manager in monitoring ongoing projects, tracking operational milestones, and managing service schedules.
- Vendor & Procurement Management
- Oversee the vendor registration process and ensure updated vendor credentials and performance metrics are accurately maintained in the system.
- Facilitate the procurement lifecycle for facility-related goods and services in strict accordance with company procedures.
- Coordinate with vendors and contractors to obtain competitive quotations, issue purchase orders, and verify service delivery.
- Track, monitor, and report on contract renewals, service level agreements (SLAs), and the overall performance of service providers.
- Workplace Support & Communication
- Act as the primary point of contact for internal workplace inquiries and facility-related service requests.
- Provide prompt and efficient support to staff regarding operational issues, office maintenance requests, or administrative needs.
- Maintain clear, professional, and effective communication channels with all internal stakeholders and external vendors.
Qualifications & Requirements
- Bachelor's degree in Building Services, Estate Management, or any related field.
- Minimum 1-2 years of experience in facility administration or a similar role.
- Fresh graduates are welcome to apply.
- Strong organizational and communication skills.
- Proficient in Microsoft Office (Word, Excel, Outlook), CMMS, and Google Drive.
- Ability to work independently, troubleshoot operational challenges, and adapt quickly in a fast-paced environment.
