Clerical Assistant, Undergraduate Services Assistant

Primary Purpose: To provide administrative assistance to the Undergraduate Student Service Office.

Nature of Work: Reporting to the Director of Student Academic Services, this position works in a busy office environment, subject to frequent interruptions, multiple competing priorities, and client service challenges. Duties are highly varied, moderately complex, and require strict attention to detail and the capacity to meet deadlines. The position works independently with general and minimal supervision.

Typical Duties: Providing general information, advice and services to prospective applicants, students, faculty/instructors, parents and visitors to the College - in person, via telephone, and through email; providing administrative support for the following processes/programs: admissions, academic advising and registration, this includes updating student academic files using the University Calendar to determine how courses are input into the computer system by program and major; providing a preliminary assessment of students’ academic program requirements prior to meeting with an academic advisor; providing a preliminary assessment for academic processes such as convocation and academic promotion standards; preparing for departmental student academic advising; providing students with information on academic regulations and deadlines; assessing permission to take extra courses; filing student academic files into our electronic document system; inputting, sorting and organizing paper files to an electronic document system; typing correspondence; assisting other office staff when required; and performing other related clerical duties as assigned.

Qualifications

Education: Completion of Grade 12 and a recognized one year post-secondary secretarial/office education program. An equivalent combination of education and experience may be considered.

Experience: Minimum two years of related experience, preferably in a university setting in an academic department or unit. Knowledge of the university’s organization and practices, admission and student services (registration, student records, convocation, student promotion standards, examinations and scholarships).

Skills: Proficient in the use of Microsoft Word and Excel; strong and accurate writing skills; working knowledge of the Banner system (Sirius), and PAWS; demonstrated understanding of information management; willingness to update skills/knowledge in the use of new information technology and tools; demonstrated effective interpersonal and communication skills; ability to compose correspondence from brief written notes or verbal instructions; ability to work in a high pressure setting; ability to meet deadlines while maintaining attention to detail; ability to prioritize assigned tasks and responsibilities; effective organizational skills; ability to adapt and demonstrate flexibility; ability to work and adapt to technological changes and a strong orientation towards customer service; demonstrated self-motivation, initiative and willingness to accept responsibility; demonstrated ability and interest in working with students, staff, faculty, and the public; and ability to work independently with minimal supervision in a team-oriented environment. Familiarity with DegreeWorks and the University Catalogue would be an asset.
