Clinic Coordinator
Job description
General Function
This position directly supports the Director of Clinical Services, providing assistance and
organization in a variety of areas within the medical department. The Clinical Services
Coordinator will work collaboratively with the Chief Medical Officer in addition to medical staff
(Physicians, Mid-level providers, Medical Assistants) to ensure that the needs and mission of the
organization are maintained.
DUTIES AND RESPONSIBILITIES
- Provides coordination of services at the New Arrival Clinic, including but not limitedto: completing chart preparation twenty-four hours in advance of scheduled clinic;working as a clinician on the day of scheduled clinic; and provide follow-up on testing orders within seventy-two hours of patient appointment.
- Assist in the development and implementation of new clinic operations, including opening new clinics and expansion of medical services
- Manage patient advocate line for patient complaints or concerns.
- Assist the Director of Patient Experience and the Chief Medical Officer (CMO) with managing the patient satisfaction surveys and develop plan of action in response to patient survey outcomes.
- Assists with implementation and ongoing oversight of the consolidated inventory project and assists with the managing of the vaccine inventory and ordering.
- Assist with medical policies development and revisions/updates to policies, specifically Substance Abuse Disorder (SUD) clinic policies and procedures.
- Assist with orientation of new staff in the medical department (including new Providers and Medical Assistants).
- Acts as a point person for the new hire during the first 90 days of employment.
- Provides guidance and training on an ongoing basis to current staff, to assure a comprehensive overview of clinical and administrative roles as a member of the PCMH team.
- Maintain updated orientation materials and competencies including materials specific to underserved populations such as PCMH, Social Determinants of Health and Cultural Diversity
- Acts a second to the Director of Clinical Services in their absence.
- Assists in the planning and organization of regularly scheduled Provider meetings.
- Acts as a second to the Director of Clinical Services in his/her absence.
- Assists in the development and maintenance of the medical emergency preparedness plan for the organization.
- Project management and statistical reporting for medical department initiatives and responsibilities on assigned job duties and projects.
- All other duties as assigned
QUALIFICATIONS
- Case Management and clinical experience in Ambulatory Care setting, preferably community health
- Highly Proficient Computer Skills including EHR
- Project Management Experience- Required
- Ability to work closely and effectively with staff and leadership
- Ability to create statistical reporting and evaluations relative to medical department functions
- Ability to lead and communicate effectively with patients and staff in a formal setting
- Strong time management skills, verbal and written communication skills a must
- Possesses the personal maturity and emotional intelligence to be able to manage work duties under demanding and challenging clinical circumstances
- Must be sensitive to cultural, religious, and ethnic diversity
