About the role

You will respond to requests for assistance from staff nationally, received by phone, walk-ups and e-mail. Your responsibilities include:

  • Logging all service requests in the ticketing system to manage workload effectively.

  • Completing administrative tasks such as printing, expense reports, billing, time entry, contact management, event and meeting assistance, room bookings and organising couriers.

  • Completing simple document tasks including minor amendments and document management.

  • Working closely with support teams including Facilities, Document Specialists, Records Management and the print room to progress requests.

  • Providing back-up support to practice groups, including phone cover.

Concierge

You will support staff with a range of concierge services, including:

  • Booking and managing travel arrangements such as flights, accommodation and transport.

  • Organising gifts including baby packages, wine, gift cards and flowers.

  • Coordinating access to services including dry cleaning, shoe repairs and movie tickets.

  • Completing ad hoc concierge tasks such as delivering documents or collecting items from external locations.

Legal secretary fill-in

You will provide back-up legal secretary support when needed, either on-site or remotely from Service HQ. This may be pre-planned (such as annual leave coverage) or ad hoc (such as unexpected absences). Work may include:

  • Diary and e-mail management.

  • Advanced billing enquiries and preparing financial reports.

  • Maintaining client contact information.

  • Coordinating file and matter management.

  • Completing transcriptions.

  • A willingness to take on varied work across administration, concierge and secretary support.
