Role Overview
The Proposal Management Specialist owns the production, quality, and competitiveness of inbound and outbound bid responses in support of our Sales Organization.
You will work directly with sales leadership, division heads, pricing, and legal to convert qualified opportunities into signed contracts. Success in this role moves win rate, deal velocity, and average contract value. This is a high-visibility seat with direct exposure to the CRO and division heads.
Core Responsibilities
- Lead end-to-end response on RFPs, RFIs, RFQs, security questionnaires, vendor risk assessments, and unsolicited proposals.
- Translate technical capabilities across Helpware's four divisions into client-specific value propositions.
- Coordinate input from sales, operations, pricing, legal, security, and HR to assemble compliant, on-brand responses.
- Maintain and improve the proposal content library, boilerplate, and response templates.
- Partner with marketing & enablement on case study development, capability statements, and one-pagers.
Required Background and Qualifications
- 1 to 2 years of experience in proposal writing, bid management, sales enablement, or B2B content development. BPO, SaaS, or professional services background strongly preferred.
- Native or near-native English written fluency. Portfolio of written work required at interview stage.
- Demonstrated experience responding to enterprise procurement processes including RFP, RFI, and security or vendor risk questionnaires.
- Track record of meeting tight deadlines on complex, cross-functional deliverables with multiple stakeholders and managing multiple concurrent pursuits in fast-paced, deadline-driven environments.
- Strong commercial judgment and the ability to read between the lines of a buyer's requirements.
- Bachelor's degree in business, marketing, communications, or a related discipline preferred but not required. Equivalent practical experience considered.
Technical Expertise
- Microsoft Office: Advanced proficiency in Word, PowerPoint, and Excel including pivot tables, lookups, and basic financial modeling.
- CRM platforms: Hands-on experience with HubSpot strongly preferred. Salesforce experience also acceptable.
- Knowledge management: Familiarity with Notion, Confluence, SharePoint, or Google Drive for structured content libraries.
- Document craft: PDF editing, version control discipline, template design, and brand consistency.
Preferred Qualifications
- Prior experience writing for outsourcing, customer experience, AI services, or technology services categories.
- Experience working with US-based or global enterprise buyers.
- Exposure to security and compliance frameworks such as SOC 2, ISO 27001, GDPR, or HIPAA.
- Background in management consulting, agency strategy, or sales engineering.
