The role:
We are looking for a highly organized, proactive and discreet Team Assistant to join the CIO Office and support the CIO and leaders within the Enterprise Technologies organization.
This role combines executive support, team coordination and operational administration to help the team run smoothly and efficiently. The right person will be able to manage calendars and logistics with a high degree of confidentiality and sound judgment, while also supporting travel coordination, events, team processes, and day-to-day Enterprise Technologies operations.
This role will work closely with internal business partners and cross-functional stakeholders to help ensure effective execution across the team. It is well suited to someone who enjoys creating order, staying one step ahead, and helping leaders and teams focus on the highest-value work.
What you will do:
Executive and team support
- Provide direct support to the CIO and selected leaders within Enterprise Technologies
- Help manage day-to-day coordination for the CIO Office and support smooth execution across leadership activities
- Support recurring leadership team processes and help coordinate across stakeholders inside and outside Enterprise Technologies
- Help drive follow-through on operational and administrative tasks across the team
- Coordinate the preparation and distribution of the monthly team digest
- Gather inputs and updates from team leads, ensure consistency across contributions, and follow up proactively to keep deadlines on track
- Support internal communication and coordination across the leadership team and key stakeholders
- Help ensure team processes move forward in a timely and well-organized way
- Manage and optimize calendars for the CIO and selected leaders, ensuring effective prioritization and efficient use of time
- Schedule meetings, resolve conflicts, and coordinate across internal and external stakeholders
- Arrange guest invitations and support meetings with vendors and partners
- Handle scheduling matters with discretion, strong judgment, and attention to confidentiality
- Organize team events such as offsites, workshops, and vendor meetings
- Manage end-to-end logistics including venue research, bookings, travel coordination, agendas, and participant communication
- Ensure smooth execution of events and provide on-site support where needed
- Process invoices and support payment-related workflows
- Create and manage ZIP requests or other relevant internal purchasing and finance processes
- Support expense submission and approval workflows
- Track administrative items to completion and ensure nothing falls through the cracks
- Book and coordinate travel for the CIO, selected leaders, and team activities as needed, including itineraries, accommodations, and related logistics
- Ensure travel arrangements are efficient, well communicated, and aligned with internal processes and budgets
- Support day-to-day operations across the Enterprise Technologies team
- Work closely with internal business partners and cross-functional teams to coordinate activities and keep processes moving
- Assist with documentation, tracking, and follow-up for recurring operational processes
- Help maintain organized team materials and information needed for smooth execution
- Experience in an administrative, team assistant, executive assistant, or operations support role
- Strong organizational skills and excellent attention to detail
- Proven ability to support senior stakeholders and manage competing priorities
- High level of discretion and professionalism when handling sensitive information
- Strong communication skills, both written and verbal
- A proactive, service-oriented mindset with strong follow-through
- Comfort working across calendars, travel booking, finance and administrative processes, and collaboration tools
- Ability to work independently, anticipate needs, and solve problems with minimal supervision
- Confidence working in a fast-moving environment and across multiple teams
- The CIO and supported leaders are well organized and able to focus on priorities
- Calendars, meetings, travel, and logistics are managed smoothly and with minimal friction
- Team coordination processes run reliably and with minimal prompting
- Administrative and finance workflows are completed accurately and on time
- Internal coordination across Enterprise Technologies and business partners is efficient and dependable
- Stakeholders experience the role as trusted, thoughtful, proactive, and highly reliable
