Job description

Job Overview VIVE Hair Studio is seeking a friendly, organized, and reliable full-time or part-time receptionist to join our team. This role is essential in creating a welcoming, professional, and seamless experience for every client who walks through our doors.

The ideal candidate is someone who enjoys working with people, thrives in a fast-paced environment, and takes pride in keeping things running smoothly. As the first point of contact, you will play a key role in setting the tone for our client experience.

Duties

  • Greet visitors and clients warmly, providing excellent customer service and ensuring they feel welcomed and valued
  • Answer multi-line phone systems promptly, directing calls accurately and professionally using proper phone etiquette
  • Manage appointment scheduling and calendar coordination for staff or practitioners
  • Handle data entry tasks with precision, including filing, maintaining records, and updating databases using Microsoft Office, Google Workspace, and other office software
  • Perform clerical duties such as proofreading documents, organizing files, and managing correspondence
  • Support office management activities by assisting with bookkeeping, invoicing in QuickBooks, and basic office supply inventory management
  • Provide general administrative support including typing reports, supporting customer support efforts, and assisting with personal assistant tasks as needed

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Demonstrated experience in office management or administrative roles with clerical experience preferred
  • Exceptional customer service skills coupled with professional phone etiquette for handling inquiries via multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Familiarity with medical or dental receptionist duties is a plus, including calendar management and patient data entry
  • Proven ability to manage time effectively while maintaining accuracy in data entry, proofreading, filing, and bookkeeping tasks
