While processes like IDR (Independent Dispute Resolution) were designed to promote fairness, they’re often administrative-heavy, time-consuming, and difficult to navigate without the right tools.
Pivotal Health combines software, data, and service into a seamlessly integrated, AI-driven platform that simplifies these complex reimbursement workflows. We help providers efficiently dispute underpaid claims, reduce administrative burden, and recover the reimbursement they’re entitled to; without adding more work to already stretched teams.
Our full-service IDR solution is just the starting point. We’re building solutions that enable providers to operate with clarity, control, and confidence across the reimbursement journey.
THE ROLE
We’re looking for a highly organized, proactive, and resourceful Executive Assistant to support our Executive team. This is not a traditional EA role—you will operate as a strategic partner, helping executives stay focused, prepared, and operating at their highest level.
You thrive in ambiguity, anticipate needs before they arise, and bring structure to fast-moving environments. You’re energized by being at the center of the action and take pride in enabling others to succeed.
WHAT YOU’LL DO
Executive Support & Prioritization
- Manage complex calendars across multiple executives, prioritizing effectively and ensuring alignment with company goals
- Coordinate internal and external meetings, including agendas, prep materials, and follow-ups
- Act as a gatekeeper and strategic partner, protecting executive time while ensuring accessibility
Operations & Execution
- Drive key operational workflows (e.g., meeting cadence, leadership rituals, offsites)
- Track action items and ensure follow-through across executives and teams
- Support cross-functional coordination and communication
Communication & Stakeholder Management
- Draft and manage internal and external communications on behalf of executives
- Interface with board members, investors, partners, and senior stakeholders
- Maintain confidentiality and professionalism in all interactions
Travel & Logistics
- Plan and manage detailed travel itineraries, often with shifting priorities
- Coordinate team events, offsites, and executive-level meetings
Process Improvement
- Identify inefficiencies and proactively build systems to improve how executives operate
- Bring structure and clarity to ambiguous or evolving processes
WHAT WE’RE LOOKING FOR
- 5–8+ years of experience supporting multiple executives in a fast-paced environment (startup or high-growth preferred)
- Proven ability to manage competing priorities and stay organized under pressure
- Exceptional communication skills (written and verbal)
- High level of discretion and professionalism
- Strong problem-solving mindset with a bias toward action
- Comfortable with ambiguity and rapid change
- Proficiency with tools like Google Workspace, Slack, Notion, etc.
