Job description
In this role, you sit at the centre of a busy project environments — connecting people, keeping things organised, and making sure the day-to-day runs smoothly.
You’ll work closely with project leaders and the wider team, helping create a space where people can focus on their work, knowing the details are taken care of.
About the role
This is a hands-on role across a large, multidisciplinary team.
You’ll take ownership of the project office and support how the team works day to day — from keeping schedules aligned, to setting up workshops, to making sure new starters feel welcome from day one.
It’s a role that suits someone who is proactive, organised and comfortable working across different people and priorities.
What you’ll do
Keep the team connected
- Manage calendars, team leave and travel so everyone knows who’s where
- Support meeting coordination and day-to-day communication
- Maintain team structures and keep information current and accessible
Support the projects
- Provide reliable, responsive support to the team and project leaders
- Help manage email groups, schedules and coordination points
- Maintain clear, consistent digital filing and project records
- Own the day-to-day operation of the project office
- Manage supplies, deliveries and workspace setup
- Coordinate seating and support visiting staff and consultants
Bring people together
- Coordinate workshops — from planning through to delivery
- Organise team events, celebrations and informal moments
- Support onboarding so new team members feel part of the team quickly
Strengthen team culture
- Help create a welcoming, inclusive environment
- Keep people connected across teams and locations
- Contribute to a positive, collaborative studio culture
What you bring
- Experience in a coordination, team support or PA/EA role
- Strong organisation skills and attention to detail
- Confidence managing calendars and communication through Microsoft Outlook and Teams
- Clear, professional communication and a calm, practical approach
- The ability to take initiative and work with minimal direction
You might also have:
- Experience in a design studio or professional services environment
- Skills in Adobe InDesign for basic document formatting
- Experience managing digital files and records.
