About the role:

The Operations Project Administrator’s primary responsibility is coordination and administrative support across JCDecaux Australia’s national operations projects, including asset rollout and refurbishment programs, safety and compliance initiatives, and systems or process improvements. The role also supports core BAU activities (e.g. asset data integrity, maintenance workflows, operational and financial reporting) where required to ensure smooth day‑to‑day operational delivery and a stable platform for projects.

A Day in the Life:

Whilst there’s no typical day in the dynamic world of media, you can expect your role to involve the following:

  • Maintain project‑specific safety documentation (inductions, permits, SWMS, risk assessments, incident logs).
  • Collect sustainability data for relevant projects (e.g. waste, recycling, energy, asset lifecycle outcomes).
  • Support development and maintenance of project schedules and task lists, resource and work sequencing.
  • Coordinate project logistics including site access, permits, notifications to stakeholders, and contractor/supplier bookings.
  • Prepare and distribute project documentation such as meeting agendas and minutes, action logs, decision records and status reports.
  • Maintain project registers (risks, issues, changes, decisions, stakeholders).
  • Administer project purchase orders, variations and invoices.
  • Ensure project spend is coded correctly to projects/WBS and in line with budget approvals and financial governance requirements
  • Act as a coordination point between project lead, operations, councils and authorities, contractors and service providers.

About You:

This position is suited to a resilient, organised, detail focussed professional who enjoys working in a fast paced, asset driven environment and contributing to strong operational and customer outcomes. It involves planning, scheduling, tracking and reporting on multiple concurrent projects so that milestones are delivered safely, on time, on budget and to quality standards, while maintaining strong BAU operational foundations.

  • Proven experience in providing wide ranging administrative support to a project team, including operational field staff and management.
  • Demonstrated experience working across multiple project and operational systems (e.g. MS Project, asset/job management tools, resource planning/finance systems).
  • Intermediate or higher MS Excel capability (e.g. lookups, pivot tables, basic analysis) and strong data literacy.
  • Strong organisational skills with proven ability to manage multiple projects, tasks and deadlines.
  • Confident written and verbal communication skills with the ability to engage a wide range of stakeholders.
  • High attention to detail and a structured approach to documentation and record‑keeping.
