Administrative Services Coordinator
Location: Auckland CBD
Full-time | Permanent | On-site
About the role:
You will support administrative functions across all programmes delivered by Pathway entities. This includes student data management, regulatory compliance (e.g. NZQA, TEC, MOE, INZ and the Education Code), system management, reporting, timetabling, and other administrative tasks as required by the business.
This role plays a key part in ensuring smooth and efficient business processes, maintaining compliance, and supporting a high standard of administrative service delivery.
Key responsibilities include:
Regulatory and compliance
Stay up to date with requirements (the Education Code, NZQA, TEC, MOE and INZ)
Incorporate updates into daily operations
Support communication with governance bodies and relevant stakeholders; Ensure compliance with student enrolments, visas, insurance, etc.
Support internal audits and follow up on compliance-related actions
Daily Operations
Respond to enquiries in a timely manner
Work closely with academic and support teams to enhance the student experience
Maintain high-quality service levels to support students and liaise across departments for solutions
Generate accurate and timely reports, and support data analysis to inform decision-making
Ensure all student data and files in SMS, CRM, and filing systems are accurate, complete, and up to date, conducting regular internal validation and reconciliation to maintain compliance and audit readiness.
Coordinate and support the timetable by assisting with uploading and setting up timetables within the system.
About you:
At least three years of experience in a similar administrative role, with understanding of business requirements and compliance practices.
Strong Excel skills for data management, reporting, and analysis.
Experience with CRM/SMS systems (e.g., SELMA or similar).
Knowledge of visa and insurance compliance requirements.
Good stakeholder communication skills, and proficiency in verbal and written English.
Self-motivated, accurate, detail-oriented, and able to work independently.
Ability to handle confidential information with discretion.
