Are you structured, service-oriented and ready to step into a central workplace role on a fixed-term basis?
We are looking for a Workplace Site Manager to cover a leave of absence from 15 September 2026 until 15 August 2027.
This is an excellent opportunity to gain experience within a global company and contribute to maintaining and improving our workplace services during the period.
As Site Manager (maternity cover / fixed-term), based at our Stockholm office, you will be responsible for delivering excellent day-to-day workplace services and supporting workplace development initiatives.
You will work closely with the Country Workplace Manager, external suppliers, landlords and the wider Global Workplace team to ensure a safe, efficient and enjoyable workplace for Ramboll staff.
Please note we place particular emphasis on candidates with strong FM management experience, including proven experience managing large office relocation projects — during this fixed-term assignment you will support two major office moves.
Key responsibilities
- Ramboll Customer Site Survey Action Plans: develop and implement action plans based on survey results to improve service and employee experience during the contract period.
- Office relocations: provide local leadership and hands‑on support for two major office relocations in Stockholm, ensuring smooth planning and execution.
- Incident reporting system management: monitor and manage incident reporting workflows (Happy Signals), support escalations and provide third-line input as needed.
- Supplier & landlord relations: coordinate communications with suppliers and manage landlord-related tasks.
- Energy management: implement measures to optimise energy use in the workplace.
- Car fleet management: coordinate car fleet activities together with external suppliers.
- ID-card & access control: manage issuance and access control procedures for the facilities.
- Fire inspection follow-up: administer follow-up actions after external fire inspections to ensure compliance and safety.
- Invoice processing: handle invoice processing accurately and in a timely manner.
- Workplace information & communication: keep employees informed using intranet and other channels; maintain clear and proactive communication throughout the term.

You will join Ramboll Global Workplace, a team focused on delivering excellent service and developing our workplace and office environments. The core team is based in Stockholm with colleagues across multiple countries.
About you
We will support your professional development during your time with us. To succeed in this fixed-term role, we expect:
- A proactive approach and ability to manage and prioritise tasks independently.
- Minimum 3-5 years’ relevant experience working with service contracts or workplace management; strong background as an FM manager is required.
- Proven experience managing large office relocation projects (essential).
- Strong communication and interpersonal skills.
- Ability to build relationships at all organisational levels and effective stakeholder management.
- Excellent written and verbal communication in English; good communication skills in Swedish are an advantage.
