Role description
The Quality Management System (QMS) Coordinator is responsible for ensuring the effective implementation, maintenance, and continuous improvement of the organization's Quality Management System. This role involves collaboration with various departments, monitoring compliance with quality standards, and facilitating activities related to quality assurance and process optimization.
Role accountabilities
Implementation of QMS
- Lead the implementation and maintenance of the Quality Management System, ensuring alignment with relevant standards (e.g., ISO 9001) and organizational objectives.
- Develop and update QMS documentation, including policies, procedures, and work instructions.
Compliance Monitoring
- Monitor and enforce compliance with quality standards and regulatory requirements.
- Conduct regular audits and assessments to ensure adherence to established processes and procedures.
Training and Education
- Provide training to employees on quality policies, procedures, and the importance of compliance.
- Collaborate with HR and departmental leaders to ensure that staff members are adequately trained on quality management principles.
Document Control
- Manage the document control process, ensuring the availability and accuracy of quality documentation.
- Establish and maintain a centralized document repository and version control system.
Process Improvement
- Identify opportunities for process improvement within the QMS.
- Work with cross-functional teams to implement changes that enhance the efficiency and effectiveness of quality-related processes.
Internal Audits
- Plan, conduct, and report on internal audits to assess the effectiveness of the QMS.
Collaborate with auditees to address findings and implement corrective actions.
Non-Conformance Management
- Manage the non-conformance process, including the identification, documentation, and resolution of non-conformities.
- Implement corrective and preventive actions to address root causes and prevent recurrence.
Performance Metrics
- Establish and monitor key performance indicators (KPIs) to measure the effectiveness of the QMS.
- Prepare regular reports for management, highlighting performance metrics and areas for improvement.
Customer Feedback
- Collect and analyze customer feedback related to product or service quality.
- Coordinate with relevant departments to address customer concerns and improve overall satisfaction.
Internal audit experience
Internal audit qualifications – non-essential
Data analysis capability
Document preparation and document control experience.
Qualifications & Experience
- Bachelor's degree in quality management, business, or a related field.
- Proven experience in quality management or a related role.
- Familiarity with quality standards (e.g., ISO 9001) and regulatory requirements.
- Strong understanding of quality management principles and methodologies.
- Certification in quality management (e.g., Certified Quality Manager) is a plus.
