Job description
We are looking for a highly organised and proactive Team Assistant to support the smooth day-to-day running of our office and provide administrative support across the business. This role is ideal for someone who enjoys working in a fast-paced environment, can manage multiple priorities and communicates confidently with employees, managers and external vendors.
Key Responsibilities
As Team Assistant, you will be responsible for a wide range of office, administrative, reporting and coordination duties, including:
- Managing office administration such as inventory control, office supplies, company records, roster scheduling and general office reporting.
- Acting as the main point of contact for employees, providing administrative support and responding to queries in a timely and professional manner.
- Managing SAP-related tasks, including regular reporting, processing expenses and handling vendor invoices.
- Coordinating travel and accommodation arrangements for staff and managers.
- Monitoring and maintaining office equipment and arranging replacement supplies where needed.
- Creating, updating and maintaining records, databases, and office documentation.
- Reviewing reports related to expenses, travel and other expenditures.
- Supporting the General Manager and wider staff team with administrative and operational needs.
- Coordinating building maintenance and repair issues, including heating, air conditioning, security and other facilities matters.
- Ensuring equipment is properly maintained by arranging preventive maintenance, repairs, inventory tracking and evaluating new equipment or techniques.
- Updating office policies and IMS procedures as required.
- Assisting with internal and external audits.
- Maintaining and controlling department records and documents.
- Managing IT reporting responsibilities.
- University or college educated
- At least 3 years experience in a similar administrative role
- Fluent in business English
- Good working knowledge of SAP
