About us The University of Luxembourg is an international research university with a distinctly multilingual and interdisciplinary character. The University of Luxembourg is seeking the following candidate to join the Student Affairs and Student Life Service (SEVE). As part of the accommodation team, you will play a key role in the administrative and operational management of student accommodation. You will help to provide a high-quality service to students by ensuring that procedures are reliable and run smoothly.

Your role

  • Handling daily emails/tickets and manning the telephone helpline
  • Welcoming and informing students, in person and remotely
  • Preparing, checking and managing tenancy agreements: o checking eligibility criteria - enrolment, duration, amount o preparing and sending out agreements o tracking signatures
  • Updating and monitoring lists of arrivals and departures for the relevant local authorities, and lists of accommodation requiring cleaning
  • Handling administrative follow-up: o contracts, including updating move-in and move-out inventories o scanning, filing and archiving contracts o forwarding documents to the Finance Department (SFC)
  • Assisting with daily accounting closures related to accommodation activities
  • Providing general administrative support to the accommodation team

Your profile

  • Bachelor's degree and/or initial experience in a comparable role
  • High level of proficiency in standard IT tools
  • Proactive, reliable, open-minded and diplomatic, with the ability to work in a fast-paced international university environment
  • Ability to adapt to a multicultural and multilingual environment
  • Very good knowledge of English and French (both spoken and written); German would be an advantage
