Tasks and Qualifications:
What you will do:
Handling daily shipping operations, including inbound/outbound/offshore shipments and local deliveries
Setting up project shipping and delivery plans by liaising with project managers, purchasing team with understanding of project schedules
Arranging shipping/deliveries to meet project schedules
Arranging freight bidding to ensure competitiveness by working with purchasing team
Working with suppliers to ensure goods are ready for pick-up as scheduled and getting the necessary information for bookings with forwarders
Tracking all the shipments, deliveries, and updating shipping schedules in system
Preparing the necessary shipping documents to ensure timely customs clearance
Ensure correct quotes and billings from forwarders/couriers by cross-checking invoices
Evaluating forwarders regularly by monitoring their performance and reviewing their quotation
Working closely with Site Managers to ensure cargos are delivered to site as scheduled
Working with Finance to assist with Goods Receiving in system
Ensure filing system is updated with all the shipping documents and quotations from forwarders
Preparing shipments tracking report if required by customers or Project Managers
Replying to email enquiries from Project Managers, Site Managers, customers, suppliers and forwarders promptly
Preparing reports on global shipping situation regularly
Proactively identify and assess potential shipping risks prior to shipment arrangements, including geopolitical issues, seasonal constraints, and logistics disruptions, and continuously track shipping situations and market trends to mitigate impact
Support demand forecasting activities by providing timely and accurate shipping insights, capacity constraints, and lead‑time trends to improve planning accuracy and supply continuity.
What we are looking for:
Required Skills & Competencies
Strong knowledge of import/export regulations and customs clearance processes across multiple countries
Strong proficiency in shipping documentation (e.g., Bill of Lading, Commercial Invoice, Packing List, Certificate of Origin)
Good knowledge of Incoterms and their practical application in global shipments
Knowledge of trade compliance requirements and documentation audit standards is advantageous
Ability to handle complex or urgent shipments under tight deadlines in a fast-paced, project environment
Basic commercial awareness, including cost control and freight cost optimization
Good negotiation skills when dealing with logistics vendors (e.g., freight forwarders, shipping lines, couriers) are advantageous
Strong analytical and problem-solving skills with a data-driven approach
Data analysis and reporting skills (e.g., shipment tracking, KPI monitoring, cost analysis) are advantageous
Good time management and strong organisational skills, with attention to detail in documentation and reporting
Strong verbal and written communication skills; fluency in spoken and written
Excellent interpersonal skills with a positive, proactive, and supportive attitude
Strong team player with the ability to collaborate across functions to resolve issues
Experience Desired:
Ability to work independently to resolve issues arising from late deliveries or customer complaints
Ability to work under pressure and effectively manage multiple priorities and deadlines
Minimum 3 – 5 years of relevant experience in project-based shipping/logistics, preferably in an international environment
Hands-on experience in managing end-to-end shipping coordination (planning, documentation, execution, and tracking)
Experience working with freight forwarders, customs brokers, and carriers to ensure timely delivery and compliance
Experience with ERP systems (e.g., SAP, SyteLine) and shipping-related modules will be advantageous
Exposure to project logistics (oversized cargo, special handling, or cross-border project shipments)
