Summary/Objective
STACK is seeking a motivated and detail-oriented Project Assistant to join our Delivery team. This is an excellent opportunity for a recent college graduate or early-career professional interested in project management, construction, contracts administration, and data center development.
The Project Assistant will support Project Managers and Delivery Managers with day-to-day project coordination, documentation, reporting, and contract administration activities. The successful candidate will gain hands-on experience working on large-scale infrastructure projects in a fast-paced and collaborative environment.
Responsibilities
- Promote a consistent culture of safety across all STACK data centers.
- Support delivery teams with the coordination and administration of construction and infrastructure projects.
- Assist with preparing, organizing, and maintaining contracts, project documentation, correspondence, and reports.
- Help track project variations, approvals, claims, deliverables, and timelines to ensure projects remain organized and compliant.
- Update project trackers, assist with budget and cost reporting, and support invoice and financial tracking activities.
- Coordinate with internal teams, subcontractors, suppliers, and consultants to support smooth project execution and communication.
- Attend project meetings, prepare meeting minutes, and track follow-up actions.
- Assist with office and site administration activities, including document management and operational support tasks.
- Maintain accurate project records and ensure information is communicated effectively to stakeholders.
- Support the preparation of presentations, status updates, and project reports for management and project teams.
- Identify and escalate project issues, risks, or delays to Project Managers when appropriate.
- Build professional relationships with internal and external stakeholders while contributing to a collaborative team environment.
- Perform additional administrative and project support duties as assigned by the Delivery team.
- Perform other duties as assigned.

Travel Required
· Travel between Data Center sites and the STACK Tokyo head office will be required for this role.
Required Education and Experience
· Bachelor’s degree in Construction Management, Engineering, Business, Project Management, Architecture, MEP Design, or a related field; or equivalent educational background.
· Recent graduates or candidates with up to 2 years of relevant experience are encouraged to apply.
· Internship or coursework related to construction, project coordination, or administration is advantageous.
· Intermediate English communication skills (written and verbal).
· Proficiency with Microsoft Office and standard business applications.
Preferred Education and Experience
· Familiarity with project coordination or document management tools is a plus.
· Experience working in collaborative team environments through internships, university projects, or extracurricular activities.
· Proficiency with project management software, such as Microsoft Project or equivalent platforms.
· Business-level English communication skills
Additional Eligibility Requirements
· Must be willing to work outside normal business hours, including weekends, late nights, holidays, and on-call support.
