Administrative & Customer Service Coordinator (Plant – Querétaro, Mexico)

Position Summary

The Administrative & Customer Service Coordinator is responsible for overseeing and optimizing the plant’s administrative operations, including order management, billing processes, customer service, and cross-functional coordination.

This role serves as a key liaison between customers, sales, and internal operational teams (production, planning, quality, and logistics). The position requires a high level of autonomy, strong organizational and analytical skills, and the ability to manage multiple priorities in a fast-paced manufacturing environment.

Key Responsibilities

Administrative & Financial Coordination

  • Oversee accounts receivable and accounts payable processes
  • Validate billing accuracy and resolve complex discrepancies
  • Generate and manage purchase orders
  • Maintain accurate and up-to-date customer records
  • Develop and present administrative and operational reports to Plant Management
  • Identify process improvement opportunities and implement controls

Operational Coordination

  • Act as a liaison between production, planning, logistics, and quality teams
  • Participate in operational meetings (production reviews, planning meetings, etc.)
  • Align operational priorities based on customer requirements
  • Identify bottlenecks and propose process improvements
  • Support execution of continuous improvement initiatives

Management Support

  • Prepare executive-level reports and performance metrics
  • Support decision-making with data-driven insights
  • Coordinate schedules, meetings, and cross-functional initiatives
  • Assist with special projects as assigned by Plant Management

Qualifications

Education

  • Bachelor’s degree in Business Administration, or related field (preferred)

Experience

  • 4–6 years of experience in:
  • Administrative operations within a manufacturing environment
  • Customer service or order management
  • Cross-functional coordination
  • Experience in industrial or manufacturing companies strongly preferred

Technical Skills

  • Advanced Microsoft Excel (data analysis, reporting)
  • ERP systems experience (SAP, Oracle, or similar)
  • Billing and administrative process management
  • Understanding of manufacturing operations and workflows
  • Familiarity with KPIs such as OTIF, delivery performance, and order accuracy
