Administrative & Customer Service Coordinator (Plant – Querétaro, Mexico)
Position Summary
The Administrative & Customer Service Coordinator is responsible for overseeing and optimizing the plant’s administrative operations, including order management, billing processes, customer service, and cross-functional coordination.
This role serves as a key liaison between customers, sales, and internal operational teams (production, planning, quality, and logistics). The position requires a high level of autonomy, strong organizational and analytical skills, and the ability to manage multiple priorities in a fast-paced manufacturing environment.
Key Responsibilities
Administrative & Financial Coordination
- Oversee accounts receivable and accounts payable processes
- Validate billing accuracy and resolve complex discrepancies
- Generate and manage purchase orders
- Maintain accurate and up-to-date customer records
- Develop and present administrative and operational reports to Plant Management
- Identify process improvement opportunities and implement controls
Operational Coordination
- Act as a liaison between production, planning, logistics, and quality teams
- Participate in operational meetings (production reviews, planning meetings, etc.)
- Align operational priorities based on customer requirements
- Identify bottlenecks and propose process improvements
- Support execution of continuous improvement initiatives
Management Support
- Prepare executive-level reports and performance metrics
- Support decision-making with data-driven insights
- Coordinate schedules, meetings, and cross-functional initiatives
- Assist with special projects as assigned by Plant Management
Qualifications
Education
- Bachelor’s degree in Business Administration, or related field (preferred)
Experience
- 4–6 years of experience in:
- Administrative operations within a manufacturing environment
- Customer service or order management
- Cross-functional coordination
- Experience in industrial or manufacturing companies strongly preferred
Technical Skills
- Advanced Microsoft Excel (data analysis, reporting)
- ERP systems experience (SAP, Oracle, or similar)
- Billing and administrative process management
- Understanding of manufacturing operations and workflows
- Familiarity with KPIs such as OTIF, delivery performance, and order accuracy
