Part Time TMS Technician & Operations Administrator
Job Summary
Canadian Health Solutions is a growing group of health service companies delivering leading medical and research service.
We are seeking a compassionate, motivated, and highly organized Part- Time Neuronavigated Transcranial Magnetic Stimulation (TMS) Technician & Operations Administrator to join our Moncton clinic. This hybrid role combines clinical care, TMS treatment delivery, and administrative coordination, supporting both patients and clinic operations.
You will work closely with a multidisciplinary team of psychiatrists, psychologists, counsellors, social workers, and TMS technicians to deliver high-quality, patient-centered care in a supportive fast-paced clinical environment.
Key Responsibilities
Patient Care, Treatment, and Clinical Support
- Deliver compassionate, client-centered care while building trust with individuals experiencing depression and related conditions.
- Conduct patient intake assessments and educate clients on treatment options and processes.
- Administer NrTMS treatments according to established protocols (training and certification provided)
- Ensure treatment accuracy, safety, and patient comfort during all sessions.
- Identify and communicate TMS-related safety risks to the treating physician.
- Support scheduling and coordination of TMS treatments.
- Guide and support patients throughout their treatment journey, addressing questions and concerns.
- Coach and motivate patients toward improved mental health and well-being.
- Monitor client progress and maintain accurate, timely clinical documentation.
- Participate in clinical rounds and communicate relevant information to the care team.
- Monitor and maintain TMS equipment and report service promptly.
Operations Support
- Serve as the first point of contact for clients, visitors, and partners (in person, phone, and email)
- Manage, answer and triage incoming calls, inquiries, and direct communications.
- Schedule appointments and follow up on client inquiries.
- Maintain a welcoming, professional, and confidential clinic environment.
- Open, maintain, and close client files (electronic and paper) in accordance with clinic standards.
- Prepare medical charts and ensure proper documentation, scanning, indexing, and filing.
- Prepare clinical correspondence and distribute physician reports on patient progress.
- Communicate with referring physicians, pharmacies, and healthcare providers.
- Request and manage medical documentation as required.
- Support psychiatrist clinic days and preparation for clinical rounds.
- Collaborate with team members to achieve clinic and organizational objectives.
- Maintain inventory of clinical supplies and equipment.
- Assist with clinic workflow coordination and daily operations.
- Support clinical projects and administrative initiatives as assigned.
- Build and maintain strong professional relationships with patients, staff, and healthcare partners.
Qualifications & Requirements
- Required: Bachelor’s degree in psychology, nursing, or a related healthcare field
- Fluency in both English (required) and French (an asset)
- Experience in a mental health or healthcare setting, particularly working with anxiety and depression.
- Proven team player with ability to work effectively in fast-paced, highly collaborative, multidisciplinary environment where teamwork, accountability and proactive communications are essential to patient care and clinic operations.
- Strong interpersonal skills with the ability to communicate compassionately and effectively.
- Excellent organizational and time management skills with the ability to multitask in a
- Strong written communication skills, including documentation client charts notes
- Proven ability to maintain strict confidentiality and professionalism.
- Ability to work both independently and collaboratively as part of a multidisciplinary team.
- Willingness to complete TMS training and certification
- High level of motivation, adaptability, and openness to feedback
- Experience with electronic medical records (e.g., Jane App)
- Proficiency in Microsoft Office (Word, Excel, Outlook) and medical software systems
