Position Available

Role Title: Executive Assistant

Role Description: We are seeking a highly organized, professional, and proactive Executive Assistant to provide administrative and operational support to senior leadership. The successful candidate will play a key role in ensuring the efficient day-to-day functioning of the office by managing schedules, coordinating communications, and assisting with a variety of administrative tasks and special projects as assigned.

Location: Sudbury

Status: Full-Time

Schedule: Monday to Friday: 8:00am to 5:00pm

Duties & Responsibilities

  • Provide direct administrative support to executive leadership.
  • Manage calendars, appointments, meetings, and travel arrangements.
  • Prepare correspondence, reports, presentations, and other documents.
  • Coordinate internal and external communications on behalf of executives.
  • Organize and maintain electronic and physical filing systems.
  • Assist with meeting preparation, including agendas, minutes, and follow-up actions.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Support office operations, including purchasing supplies and coordinating vendors as required.
  • Assist with human resources, payroll, recruitment, and onboarding administration as assigned.
  • Coordinate projects and track deadlines to ensure timely completion.
  • Provide exceptional customer service to employees, clients, and external stakeholders.
  • Perform general administrative duties and other tasks as assigned to support business operations.
  • Other duties as assigned.

Qualifications and Skills Requirements

  • Highschool diploma or equivalent
  • Previous receptionist, administrative, or customer service experience considered an asset
  • Strong communication and customer service skills
  • Excellent organizational skills and multitasking skills
  • Proficiency with Microsoft Office and comfortable learning new systems
  • Ability to work independently in a fast-faced office environment
  • Valid Driver’s licence and clean driver’s abstract
  • Be bondable

Compensation and Benefits

  • Annual Salary: $50,000 – $55,000
