Overview
A detail-oriented Project Administrator Intern to support daily project operations and assist in the implementation of project management tools within the PMT team.
To work closely with Project Managers, Project Administrators, and Project Automation Interns to ensure smooth project coordination and support the adoption of new tools.
Responsibilities
- Project Administration & Coordination (≈60%)
•
Support daily operations across multiple internal projects and internal operations for delivery team
•
Track project progress, follow up on tasks, and ensure timely updates
•
Prepare and maintain project documentation (meeting minutes, reports, trackers)
•
Coordinate meetings (scheduling, agenda preparation, and follow-ups)
•
Support resource booking, timesheet tracking, and data updates in project systems
•
Monitor and update internal project reports (e.g. outstanding reports, status updates)
- Project Tool Implementation & User Support (≈30%)
•
Support the deployment and rollout of project management tools within the team
•
Assist in testing features, preparing documentation, and validating processes
•
Create simple user guides, SOPs, and instruction materials
•
Support internal users during system rollout and go-live
•
Collect feedback, track issues, and support continuous improvement
- Process Documentation & Improvement (≈10%)
•
Develop and refine SOPs and internal guidelines
•
Improve clarity and usability of project documentation
•
Identify process gaps and suggest improvements
•
Support creation of training materials or internal learning content
Requirements
Must-have
•
Final-year student or fresh graduate in Business Administration, Project Management, Information Systems, or related fields.
•
Strong attention to detail and ability to work with documentation, reports, and structured processes.
•
Own a Windows laptop for project-related tools and system access.
•
Good organizational and coordination skills.
•
Able to commit to a full-time internship schedule.
•
Available to work onsite in Ho Chi Minh City.
Preferred
•
Comfortable working with process documentation, SOPs, trackers, and administrative tasks.
•
Interested in project coordination, operations, or project management.
