We’re looking to employ a motivated enthusiastic Safety, Health, Environment Quality (SHEQ) Administrator working to join our small but fast paced SHEQ Team.
About the Role
The SHEQ Administrator is responsible for providing comprehensive administrative and clerical support to the SHEQ Team, helping to ensure the effective coordination of departmental activities. The role is responsible for maintaining organised and accurate documentation, as well as carrying out a range of administrative tasks to support colleagues and departmental processes.
Responsibilities
- Support the SHEQ Team with implementation of polices and processes to ensure compliance across the organisation.
- Digital filing of paperwork submitted to the SHEQ inbox.
- Distribution of information from the SHEQ inbox to the SHEQ Team
- Allocation of actions from SafetyCulture audits
- Assist in submission of pre-qualification questionnaires
- Updating accreditations and client portals
- Completing and updating non-conformance register
- Recording near misses, incidents and accidents and keeping statistics up to date.
- Gathering and summarising man hours for accident rates
- Compiling office energy usage
- Collating monthly KPI reports and meeting minutes, including minute taking during meetings.
- Collation of client feedback across all divisions
- Maintain the subcontractor matrix
- Tracking of fatigue hours for Everlast Rail
- Establish and maintain effective working relationships with all stakeholders
- Interpret, prioritise and respond effectively to verbal and written instructions received by phone, in person or via written correspondence.
- Training and competency records: Supporting training matrices, certificates, renewals, inductions, toolbox talks or briefings.
Essential Experience/Qualifications
- NVQ Level 2 Business Administration or equivalent
- IOSH Managing Safely (or willingness to work towards)
- Minimum of 5 years administrative experience
- English and Maths GCSE or equivalent
- Proficient in Microsoft packages (Outlook, Word, Excel, PowerPoint, SharePoint)
- Personal work planning and organisational skills
- Excellent verbal and written communication skills
- Good problem solving skills
- Meticulous and detail oriented
- Ability to work well under pressure
- Ability to work well within a team as well as the initiative to work sufficiently alone
- Sensitivity and understanding, particularly with confidential information
- Self motivated and enthusiastic learner
Desirable Experience/Qualifications, knowledge & Skills
- NVQ Level 3 in Business Administration or equivalent
- Previous experience working in a similar role
- Experience working in the construction/environmental industry would be advantageous.
- Further education beyond GCSE Level would be advantageous
- The ability to understand and analyse complex information and present it simply and accurately
- Desire for career progression within the SHEQ discipline
