What You'll Do

  • Oversee both Kaunas (HQ) and Vilnius offices - equipment, supplies, vendors, food delivery, and coordination with service providers and landlords to keep day-to-day operations running smoothly.
  • Be the first point of contact - manage phone calls, correspondence (emails, letters, packages), and provide general support to guests and employees.
  • Support HR and Finance teams - assist with onboarding and offboarding, ensure paperwork flows smoothly between departments, and help coordinate business travel arrangements.
  • Own office policies and compliance - develop and implement office procedures in collaboration with HR and Legal, establish document archiving standards, and ensure data security, integrity, and confidentiality.
  • Keep the office safe and healthy - organize health and safety training and maintain a secure, well-functioning working environment.
  • Manage budgets and reporting - track the administration budget, analyze internal processes, and provide management reports with trends and recommendations.
  • Bring people together - coordinate internal events, office celebrations, and employee gifts.

  • Comfortable with Microsoft Teams and Oracle NetSuite. Experience with AI tools is an advantage.
  • Background in office administration or coordination is a plus. Familiarity with budget planning, invoicing, and basic accounting is welcomed.
  • Based primarily in Kaunas office, with one day per week in Vilnius. Category B driving licence required.
  • Fluent in Lithuanian and English with strong verbal and written communication skills.

Salary range: Gross salary from 2200 - 3000 EUR/month, based on experience and qualifications.
