Overview

The Operations Agent Import is responsible for coordinating and managing inbound international shipments, with primary focus on airfreight and courier imports, and occasionally road freight shipments. The role involves close coordination with overseas agents, airlines, courier networks, customs authorities, customers, and local transport providers to ensure efficient and compliant import processes. The Operations Agent Import is responsible for accurate document handling, customs clearance coordination, shipment monitoring, customer communication, and final delivery arrangements. The successful candidate will maintain full visibility and control of shipments throughout the import process while delivering high-quality customer service and ensuring compliance with company procedures and regulatory requirements.

Responsibilities

• Manage and coordinate inbound international shipments, primarily airfreight and courier imports. Handle occasional road freight import shipments.
• Monitor shipment status and maintain visibility throughout the transportation process.
• Coordinate import bookings with overseas agents, carriers, and service providers.
• Ensure timely processing and handling of import consignments.
• Review, verify, and process import documentation including commercial invoices, packing lists, airway bills, and customs documents.
• Coordinate customs clearance activities with customs brokers and relevant authorities.
• Ensure compliance with Norwegian customs regulations and import requirements.
• Obtain and validate documentation required for customs clearance and delivery.
• Act as primary point of contact for customers regarding import shipments.
• Provide proactive shipment updates and communicate any delays or exceptions.
• Coordinate final delivery arrangements with customers and transport providers.
• Resolve shipment issues through effective communication with customers and partners.
• Liaise with overseas agents, airlines, courier operators, and transport providers.
• Coordinate arrival notifications and import instructions.
• Follow up on shipment discrepancies, delays, and operational exceptions.
• Ensure smooth handover between international and local transportation partners.
• Verify supplier invoices and shipment-related costs.
• Prepare operational files for invoicing.
• Ensure accurate cost allocation and operational documentation.
