Human Resources Coordinator
Job description
Position Overview International Motors is hiring a Human Resources Coordinator to join our Human Resources team and play a vital role in supporting employees, candidates, and leaders throughout the employee lifecycle. As the first point of contact for many HR-related inquiries, you'll help create an exceptional employee experience by providing guidance on HR policies and programs, coordinating recruiting and onboarding activities, maintaining HR data and reporting, and ensuring the smooth execution of daily HR operations. Shift Schedule: Monday–Thursday, 5:30 a.m. – 4:00 p.m. Flexibility is required to work additional hours, including before or after the scheduled shift, and occasional Fridays, weekends, or other times as needed to support production, onboarding, recruiting events, and business operations. Responsibilities Serve as the first point of contact for routine HR-related questions from employees, providing guidance on HR policies, procedures, and programs, and escalating complex or sensitive matters to the HR Generalist (HRG) as appropriate. Manage daily HR office traffic by assisting employees, applicants, and visitors with general HR inquiries, directing them to the appropriate resources, and ensuring timely follow-up. Support the HR Generalist by triaging employee concerns, gathering relevant information, and escalating employee relations issues requiring further review or investigation. Assist employees with navigating HR systems and completing employment-related forms, including benefits enrollment, policy acknowledgments, and self-service transactions. Maintain and update HR tracking tools and live spreadsheets to monitor recruiting activity, onboarding progress, training completion, staffing status, and other key HR metrics. Prepare and distribute routine HR reports and dashboards, ensuring data accuracy and timely updates for leadership review. Coordinate recruiting logistics, including interview scheduling, candidate communications, hiring events, background checks, and pre-employment requirements. Partner with hiring managers to ensure a seamless onboarding experience by coordinating start dates, orientation schedules, equipment requests, and new hire readiness. Monitor onboarding milestones to ensure completion of required documentation, training, and compliance activities within established timelines. Support workforce planning activities by maintaining accurate staffing trackers, requisition status reports, and recruiting pipelines. Maintain confidentiality while handling sensitive employee information and HR records in accordance with Company policies and applicable privacy requirements. Identify opportunities to improve HR administrative processes and recommend solutions that enhance efficiency, data accuracy, and employee experience. Represent the Company at job fairs, community events, hiring events, and other recruitment activities to promote employment opportunities, build candidate pipelines, and support high-volume staffing initiatives. Minimum Requirements Associate’s degree and no experience OR At least 2 years of administrative assistant or HR administration experience Additional Requirements Qualified candidates, excluding current employees, must be legally authorized on an unrestricted basis (US Citizen, Legal Permanent Resident, Refugee or Asylee) to be employed in the United States. We do not anticipate providing employment related work sponsorship for this position (e.g., H-1B status) Desired Skills 1–3 years of HR, administrative, or coordination experience; manufacturing or high-volume environment preferred. Experience supporting onboarding, recruiting coordination, or training administration. Strong organizational skills with the ability to manage multiple tasks in a fast-paced environment. Detail-oriented with a focus on accuracy in documentation and data entry. Effective communication and interpersonal skills; ability to interact with employees at all levels. Basic analytical skills with the ability to track and report HR data (e.g., attendance, training, headcount). Proficiency in Microsoft Office (Excel, Outlook, Teams) and HR systems (e.g., HRIS, applicant tracking, timekeeping systems). Ability to handle sensitive and confidential information with discretion. High level of initiative, reliability, and customer-service mindset.
