Part-time Archivist
Job description
POSITION SUMMARY
The Archivist works as a member of the Communications Department and supports the New World Symphony (NWS) in preserving past and documenting current organizational activities and materials, responding to internal and external archival requests, accession materials and assisting with strategic communications.
DUTIES AND RESPONSIBILITIES
- Collect, document and store all significant organizational materials, both print and digital, in a timely, efficient fashion using NWS’s identified processes and Digital Asset Management System (DAM), Canto
- Maintain guidelines and procedures for records identification and archival processing, including identification and collection of digital files from key internal staff and departments
- Process, digitize, and preserve legacy archival collections while curating newly created, digital photo and video assets. Directly responsible for the oversight, maintenance, and leveraging of NWS's Michael Tilson Thomas (MTT) Collection. In close collaboration with MTT’s team, the Archivist acts as curator for legacy photo, A/V, and press coverage directly and tangentially related to Michael Tilson Thomas and his tenure as Co-Founder, Artistic Director and Artistic Director Laureate of NWS. Manipulate and manage new and old digital files for inclusion and easy access within Canto using best practices, including adjusting file names and creating systematic metatags
- Work across departments to implement the best asset organization and taxonomy for browsing and searching for assets
- Collaborate on and provide assets for internal and external projects related, but not limited to: institutional history, storytelling, events, programs, and individual & corporate sponsors to support the goals and pillars of NWS, the Archives, and the Communications department
- Manage user access to Canto, stepping in to help problem-solve or locate information and assets as needed
- Train applicable new hires on how to access and use the DAM, as well as providing continuous training on any changes to the process as needed
- Communicate with DAM provider to request tools and solicit upgrades for streamlining content creation, tagging, and publishing
- Respond to internal and external requests for archival materials in a timely fashion
- Manage accession materials acquired by gift or bequest
- In consultation with the Director of Communications and NWS’s content calendar, coordinate and assist with original content for the NWS newsfeed
- Stay informed about new trends and/or opportunities that could further NWS's strategic initiatives
EDUCATION AND EXPERIENCE
- Experience with Digital Asset Management (DAM) software preferred
- Experience with archival best practices, Encoded Archival Description (EAD metadata and handling various types of materials preferred
- A bachelor's degree, or current enrollment in a degree program, is preferred
- An equivalent combination of education and experience may be considered
KNOWLEDGE, SKILLS AND ABILITIES
- Ability to interact effectively and respectfully as a team player with a variety of people
- Excellent written and oral communication skills
- Highly organized with attention to detail and quality
- Ability to manage numerous projects simultaneously, in a demanding, multi-activity work environment, and meet deadlines.
- Proficiency in MS Office Suite, Adobe Creative Cloud and Digital Asset Management software
- Photography experience is a plus
