Associate Registrar for Graduation & ComplianceUnder the direction of the Registrar and Senior Associate Registrar, the Associate Registrar is responsible for overseeing compliance and reporting enrollment and degree information to various external agencies, as well as managing graduation procedures. This position will analyze the office’s services and implement technology to streamline them in ways that advance the strategic goals of the Office and the College. Additionally, the Associate Registrar is a key contributor to the Registrar’s leadership team and will work with the team to ensure a smooth transition to Workday Student.Job Description:
RESPONSIBILITIES:
- Oversee graduation application and clearance processes, working with academic departments to review seniors’ completion of major and minor requirements prior to graduation. Prepare and distribute materials, and provide support to Chairs and Department Managers/Assistants throughout the process.
- Manage the review of General Education requirements as students approach their senior year and communicate with students in collaboration with the Senior Class Dean. Update student degree audits upon request or approval.
- Process requests for seniors requesting a reduced course load in their final semester.
- Maintain anticipated degree dates.
- Oversee reporting of enrollment and degree status to the National Student Clearinghouse, and resolve all errors, in compliance with federal requirements.
- Process student status updates such as Withdrawals and Leaves of Absence in the student information system, and perform timely reporting to NSC/NSLDS. Liaison with the College Case Manager to ensure that policies related to effective date of withdrawal are applied consistently.
- Act as the office's subject matter expert on FERPA, ensuring compliance and providing training.
- Respond to subpoenas and other requests to view student records, working with the Office of General Counsel as needed.
- Verify NCAA eligibility for student-athletes, working with colleagues at Columbia University.
- Oversee the maintenance of student permanent files, in adherence with retention guidelines.
- Serve as a secondary School Certifying Official for veterans’ education benefits.
- Assess how we provide information to various populations and implement technology such as AI in order to improve the user experience.
- Act as the Registrar’s website administrator for all webpage updates.
- Develop analyses of Registrar’s Office processes for the purpose of identifying opportunities for streamlining and standardizing procedures, approvals, etc. used across academic departments.
- Keep current with all College regulations dealing with degree, major, and minor requirements in order to respond to student and faculty inquiries and to fulfill other responsibilities.
- Run reports and use data to perform duties listed above.
- Support the Workday Student implementation project, including data entry and testing as needed.
- Provide backup supervision for support staff, including student workers.
- Perform other duties and special projects as assigned.
Skills, Qualifications & Requirements:
Knowledge, Skills, and Abilities:
- Ability to analyze and interpret College policies and procedures in order to respond effectively to detailed inquiries from students, faculty, and parents
- Experience managing multiple projects, meeting deadlines, and coordinating the work of peers.
- Strong computer skills, including work with an integrated student information system (preferably Ellucian Colleague, Slate and Workday Student).
- Experience with data collection and analysis (e.g. writing and analyzing reports)
- Ability to analyze business processes and identify ways to create service improvements and other efficiencies.
- Experience and proficiency working with FERPA.
- Excellent verbal and written communications skills.
- Detail-oriented approach; must be precise and accurate in work.
- Comfort working independently and as a member of a team.
- Ability to take initiative and work proactively with minimal supervision.
- Ability to accomplish goals and objectives while under pressure.
- Ability to work collaboratively with faculty, students, alumnae, and colleagues. Strong interpersonal and relationship-building skills.
- Demonstrated high levels of accountability, accuracy and confidentiality.
Qualifications:
- Bachelor’s degree (Master’s preferred).
- Significant related work experience in higher education (minimum 6 years), with progressively responsible experience in a registrar’s office or closely related office.
- Previous experience with graduation, degree audit and reporting to the National Student Clearinghouse is strongly preferred.
- Prior supervisory experience (2+ years) preferred.
- Strong computer skills, including work with an integrated student information system, with an aptitude for learning new software systems. Proficiency in MS Office suite products (especially Excel) and the Google suite of products.
|Salary Range: $85,000 - $93,000
The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the College's good faith and reasonable estimate of the range of possible compensation at the time of posting.
