Assistant to the Chief of Staff | Private Family | Brooklyn Heights , NY Compensation: $125,000+ | Full Benefits | Monday–Friday, 10am–6pm with Flexibility
A private family based in Brooklyn Heights, New York is seeking a sharp, dependable Assistant to the Chief of Staff to support a growing household operation. This is an excellent opportunity for someone with a foundation in private service or executive support who is ready to step into a dynamic, fast-moving environment and grow within it.
The Chief of Staff oversees an expansive scope of responsibilities across multiple residences, domestic and international travel, staff coordination, financial management, and family logistics. This role exists to support him directly – handling the day-to-day tasks that keep everything running smoothly and stepping up when time-sensitive situations arise.
The Role
This person will work closely with and report directly to the Chief of Staff, serving as his right hand on the ground in New York. When he is traveling or unavailable, this person will take direction and is trusted to execute independently and effectively.
The work spans a wide range – from managing calendar appointments to booking last-minute vehicle and airfare transfers, shipping household items, processing payments, and handling errands across the city and occasionally in the Hamptons. No two days will look alike. The ideal candidate is someone who doesn't rattle easily, takes ownership of urgent requests with confidence, and brings a solutions-first mindset to everything they do.
This is not a role for someone who needs a great deal of hand-holding. It is, however, a role where the right person will be mentored, supported, and given the opportunity to grow. The Chief of Staff is invested in setting this person up for success. Please note, this role will provide a mixture of working from home, running about town in Manhattan and Brooklyn, and occasionally traveling at the family’s request.
Responsibilities
- Run time-sensitive errands with a wide range of requests
- Manage calendar appointments and correspondence on behalf of the Chief of Staff
- Process payments and manage household subscriptions, policies, etc. and keep them up to date
- Manage mail, incoming and outgoing packages, and returns as needed
- Coordinate logistics including travel bookings – jet, helicopter, and vehicle arrangements, and appointments and reservations
- Support document management – converting files, building basic spreadsheets, organizing PDFs
- Assist with pets and pet travel logistics as needed
- Assist with light events as requested
- Be open to occasional (and infrequent) Hamptons, domestic and international travel
- Collaborate with Chief of Staff and additional household team members
Qualifications
- 3-5 years of experience working as a Personal Assistant and/or Executive Assistant; we are not looking for candidates with 10-15 years of experience
- Comfortable taking direction and working within a defined structure while owning responsibilities independently
- Highly organized, technologically proficient, and familiar with Google Suite
- Calm under pressure, solutions-oriented, and able to execute time-sensitive tasks with confidence and minimal oversight
- Comfortable around cats and dogs and willing to assist with pet travel on occasion
- Flexible and responsive – while the role is structured around a Monday through Friday schedule, occasional evenings, weekends, and travel are part of the position
- Legally authorized to work in the US
- Local to NYC – within a commutable distance to Brooklyn Heights
- Willingness to undergo a detailed background check and provide strong employment references
