ABOUT THE ROLE

As we expand our AI and agentic solutions for audit and finance customers, the volume and complexity of customer questionnaires, security assessments, due diligence questionnaires (DDQs), and RFPs continues to grow. These responses are a critical, late-stage step in our sales cycle — and increasingly include questions spanning security, privacy, product, AI governance, legal, and commercial terms.

The Proposal Manager owns this process end to end. This is a coordination and enablement role, not a subject-matter role: you will own the process of getting customer queries answered accurately and on time, while our subject-matter experts (InfoSec, Product, Engineering, Legal, Finance, and People) remain responsible for the content within their domains.

You act as the single point of accountability and the buffer that protects our experts' time — routing only the questions that genuinely need them, with full context, rather than forwarding entire documents. You will also transform one-off responses into reusable institutional knowledge, ensuring every completed questionnaire makes the next one faster and more efficient.

This role owns the process. The Proposal Manager coordinates, drafts responses using approved content, manages stakeholders, and delivers high-quality submissions. Subject-matter experts remain accountable for the technical accuracy of content within their domains and review only genuine exceptions. This separation ensures faster deal cycles while protecting specialist capacity.

This starts as a single-person function. You will own it end to end, and your primary lever is automation: building the workflows, library, and tooling that let one person operate at the scale this would otherwise demand of a team. The goal isn't to do more by hand — it's to make the process scale without scaling headcount.

This is a global role. While Amsterdam-based, you will support deals across EMEA, US, and APAC markets, which calls for flexibility in working hours to align with those time zones during active deals.

You will sit within the Solutions Engineering organization and work closely with Account Executives, Solutions Architects and the subject-matter experts — including InfoSec and Engineering.

ABOUT DATASNIPPER

WHAT YOU WILL DO

  • Manage customer questionnaires, security assessments, and RFPs
  • Serve as the single intake point and owner for all incoming customer questionnaires, security/vendor assessments, DDQs, and RFPs.
  • Triage and classify each request by question type, then route sections to the correct owning team (security, privacy, product, engineering, AI governance, legal, finance, commercial).
  • Draft first-pass responses from the approved answer database, escalating only true exceptions to subject-matter experts as scoped, single questions with context.
  • Set and manage internal deadlines and SLAs that leave buffer before customer deadlines; track progress and chase contributors.
  • Prioritize across concurrent requests when several questionnaires or RFPs land at once — sequencing by deal stage, value, and deadline rather than first-in-first-out, and flagging trade-offs to Account Executives early.
  • Escalate stalled contributions through a defined path: when a routed exception sits unanswered against a deadline, you are empowered — with explicit management backing — to escalate, and SME responsiveness within agreed SLAs is treated as a shared, leadership-supported commitment rather than a favor.
  • Run final review and QA for consistency, accuracy, tone, and completeness before submission; assemble and deliver in the customer's required format or portal.
  • Own the answer databases and align stakeholders
  • Own the centralized library of pre-approved answers end to end — its structure, accuracy, currency, and access — mapped to common question themes and kept continuously up to date.
  • Operate with the sensitivity our market demands: our customers are audit and finance firms in a highly regulated environment, so accuracy, confidentiality, and consistency are non-negotiable. Only approved, current, source-backed content enters the library; outdated, speculative, or off-message answers carry real reputational and commercial risk.
  • Coordinate with InfoSec, Product, Engineering, Legal, Finance, and People to keep their content accurate, with a regular review cadence (e.g., after product launches, certification changes, or new releases).
  • Feed strong, newly written answers back into the library so each response makes the next one faster.
  • Maintain version control and a clear audit trail of who answered what and when.
  • Continuously identify opportunities to improve content quality, answer reuse, and process efficiency.
  • Automate and apply AI across the customer-query process (a continuous KPI)
  • Evaluate, implement, and administer response-automation and content-library tooling, and integrate with CRM.
  • Use AI to generate accurate first drafts, accelerate turnaround, and reduce manual effort — with appropriate human review and source-backed accuracy.
  • Help set up and maintain a customer-facing trust center / security portal, ensuring documentation remains current and enabling prospects and customers to self-serve common security and compliance information, reducing inbound questionnaire volume.
  • Track and report on process metrics (turnaround time, volume, SME interruption rate, win contribution) and drive continuous improvement.
  • Support deal and order-form preparation
  • Partner with Account Executives on late-stage deal preparation, ensuring security and compliance objections are removed early.
  • Support the preparation and accuracy of order forms and related sales documentation.
  • Capture win/loss insights from completed responses to improve future content and process.

WHAT SUCCESS LOOKS LIKE

  • SME interruptions fall to genuine exceptions only — experts never see a question the library could have answered, and their touch rate declines over time.
  • Every submission lands before the customer deadline with internal buffer to spare; "where is the questionnaire?" stops being a question that stalls deals.
  • Accuracy holds under a regulated lens: nothing outdated, speculative, or off-message reaches an audit or finance customer, and every answer traces to an approved, current source.
  • The library compounds — each questionnaire adds reusable approved answers, so reuse rate climbs and net-new writing per questionnaire falls.
  • Automation steadily replaces manual coordination: first-draft generation, routing, and assembly increasingly run through tooling rather than by hand, quarter over quarter.
  • The trust center deflects a growing share of repeat security and compliance questions before they ever become a questionnaire.

WHAT YOU BRING

  • Proven experience managing RFPs, security questionnaires, DDQs, or proposals in a B2B SaaS environment (ideally regulated, security-heavy, or selling into finance/audit).
  • Strong project management, coordination, and stakeholder-management skills.
  • Demonstrated success collaborating across departments and influencing teams you don't manage (e.g., InfoSec, Legal, Product, Finance) to hit shared deadlines.
  • Proven ability to perform under pressure and deliver to tight, externally-driven deadlines without compromising quality.
  • AI-fluent and capable of implementing and maintaining AI automation flows to support the proposal process.
  • Excellent written communication and editorial/QA instincts.
  • Enough technical fluency to handle most security, privacy, and product questions directly from a library — and to correctly route what you cannot answer (you don't need to be the expert, but you need to know who is).
  • Comfort owning a content library, SLAs, and process metrics.
  • Sound judgment and discretion handling confidential information — both customers' security and compliance details and our own internal posture — in a regulated audit and finance context.
  • Willingness to flex working hours regularly to support deals across global time zones.

Nice to have

  • Familiarity with security and compliance frameworks (SOC 2, ISO 27001) and how certifications map to questionnaire answers.
  • Exposure to AI governance / responsible-AI questions in customer assessments.
  • Hands-on experience with response-automation or trust-center tooling, and with CRM (HubSpot).
  • Background in sales engineering, solutions enablement, technical writing, or revenue operations.
