People Experience & Operations Asst Analyst
Job description
Overview People Experience & Operations Asst Analyst is the on-site HR SPOC for employees. Typically, responsible for managing the day-to-day operations, acting as a first-tier support for all HR related matters on site. Starting from onboarding coordination and throughout the employment duration. The role is the one face to governmental bodies inspectors and hence is accountable to keep and maintain complete/accurate and up to date documents on-site. Being part of the Global People Experience & Operations Team, this role is expected to provide consistent and standard services and achieve high level of customer satisfaction through systems training, process orientation and SLA adherence as measured by global reporting tools. The role is also expected to activate launches and change management tactics of new digital tools and solutions (ex: iCIMS - myServices) Responsibilities Onboarding & New Hire Integration. Manage hiring documentation, including physical receipt and collection of required wet signatures. Coordinate end-to-end onboarding experience, including site walkthroughs and facilitation of business tools/assets handover from relevant departments. Follow up with Hiring Managers to ensure completion of onboarding tasks. Train new hires on PEP tools and systems to enable smooth integration. Learning & Development Support the learning agenda by: Managing logistics for training sessions (venue booking, meeting room readiness, catering). Delivering, tracking, and following up on compliance, ethics, and TM-related face-to-face training sessions. Monitoring participation and completion rates. Systems, Tools & Digital Adoption Drive effective utilization of HR systems and tools by: Training employees on platforms such as MyServices, iCIMS, MS Teams, Smiles, etc. Identifying root causes of low adoption and partnering with stakeholders to improve usage. Maintaining on-site digital hubs/kiosks and ensuring operational readiness. Compliance, Employee Relations & Governance Ensure compliance with internal policies and local regulations by: Maintaining legally required documentation and up-to-date health certificates. Running periodic audits aligned with government and legal requirements. Supporting site government inspections, handling queries, and reporting outcomes to the legal team. Communicating ER, Compliance & Ethics, and Legal outcomes from internal investigations to employees (L5-) and ensuring proper acknowledgment (wet signatures and system capture). Employee Experience Support (TM Coordination) Support communication cascade through available channels and encourage participation. Offboarding & Employee Exit Management Ensure smooth employee exit processes by tracking and following up on clearance activities through myServices and other relevant systems. Coordinate with stakeholders to ensure timely completion of exit requirements and approvals. Maintain proper documentation and employee acknowledgments in line with compliance and legal requirements. Qualifications 1 – 3 years of experience, preferably with HR Operations experience. Customer orientation. Technical / Functional Skills & Knowledge of HR Tools and Interfaces. Experience or understating of HR Operations/Shared Services environment. Change management and agility. Must possess strong influencing skills. Demonstrated track record of strong service delivery.
