Senior Assistant Director, Academic Services
Job description
The Student and Academic Services Department (SASD) provides comprehensive support across the student life cycle—from admission and matriculation to graduation and beyond. SASD works closely with schools, colleges, and autonomous institutes to ensure a seamless and enriching academic journey. Within SASD, the Office of Academic Services (OAS) plays a key role in advancing the University's educational goals through implementing and administering the academic policies established by the University's academic body. To provide academic services for students from the time of their matriculation to their graduation.
Reporting to the Director, OAS, the successful candidate will provide leadership and ensures professional administration of course registration, timetabling, and teaching facilities management, for both undergraduate and graduate education in the University. As a Team Lead, he/she will be responsible for overseeing the academic operations and enhancing student experience to ensure all 40,000 NTU students are enrolled to the courses for successful completion of their programmes with strong governance and high integrity. The incumbent also leverages on new technologies and data analytics to improve academic excellence, which contributes to the University’s effort in transforming education.
Responsibilities
Oversees the operations of course registration and timetabling exercises for both Semester and Trimester programmes across all Colleges and Schools at university level.
Review and streamline the processes and policies to improve both administrative efficiency and student experience.
Enhance the course allocation mechanism with inputs from stakeholders to ensure students are enrolled to the courses successfully and fairly to facilitate their successful graduation.
Spearhead the system development of Student Management System and other automation processes to ensure strong governance, data integrity, and smooth operations within and across the academic services functions.
Engage and liaise various stakeholders from Offices, Colleges and Schools to facilitate cross collaboration and ensure sufficiency of courses.
Formulate and review policies and procedures to provide effective governance and safeguard the integrity of the undergraduate and graduate course enrolment and timetabling operations.
Responsible for the administration and allocation of teaching facilities across the University.
Conduct regular data analysis on demands and provision of courses, distribution of classes, and utilisation of teaching facilities.
Strategise and collaborate closely with other teams in OAS to align the end-to-end academic operations with the University’s vision and priorities.
Support Director in other university-wide strategies and initiatives.
Requirements
Degree with at least 10-12 years of relevant working experience in academic administration, digital transformation, operations, system improvement, stakeholder engagement, and/or project management.
Demonstrated experience in policy formulation, governance, and process improvement with new technologies and automation.
Strong leadership skills with the ability to align operational activities to strategic goals, drive initiatives, and manage change effectively.
Strong analytical and creative problem-solving skills with the ability to leverage data and big data tools to generate insights for strategic planning and decision-making.
Excellent team player with strong strategic thinking, stakeholder management, and high integrit.
Candidates with solid understanding of teaching timetable planning, course enrolment processes, and academic operations in a university or higher education setting would have an added advantage.
Proficiency in data analysis tools (e.g., Excel, Power BI, Tableau, SQL, or equivalent) will be an advantage.
