Job description
We are looking for a proactive and organized Office Manager / HR Asssitant to join our growing team. In this role, you’ll make sure our offices run smoothly, assist the Head of HR and with daily tasks, and play a key role in creating a comfortable, efficient, and inspiring workspace for everyone.
Key Responsibilities
- Oversee the day-to-day operations of the Riga office, ensuring a productive, organised, and welcoming work environment
- Lead office improvement initiatives, including workspace design, facilities management, and employee experience projects
- Systematise administrative processes and introduce structure, efficiency, and best practices across office operations
- Develop, implement, and maintain administrative policies, procedures, and internal guidelines
- Manage office correspondence, document flow, contracts, supplier relationships, and expense tracking
- Support onboarding and offboarding processes, ensuring a positive employee experience
- Assist the Head of HR with HR administration, employee documentation, records management, and various people-related initiatives
- Coordinate internal communications and administrative processes between departments
- Organise business travel, including flights, accommodation, transfers, and travel logistics
- Support the planning and execution of internal events, team-building activities, celebrations, and company gatherings
- Assist with office procurement, vendor management, and workplace maintenance
- Provide general administrative support to management and employees as required
- 2+ years of experience as an Office Manager, HR Assistant, Administrative Coordinator, or in a similar role
- Strong organisational, planning, and multitasking skills with excellent attention to detail
- Proactive, hands-on, and solution-oriented mindset with the ability to improve and optimise processes
- Interest in HR, employee experience, and people operations
- Excellent communication skills in English and Latvian, both written and spoken
- Ability to handle confidential information with discretion and professionalism
- Strong administrative and coordination skills with the ability to manage multiple priorities simultaneously
- Proficiency in Google Workspace and/or Microsoft Office Suite
- Valid driver's licence is highly desirable
