The Westerwelle Foundation for International Understanding, headquartered in Berlin, Germany, is a non-profit organization established in 2013 by Dr. Guido Westerwelle, former German Minister for Foreign Affairs, and Ralph Dommermuth, CEO and Founder of United Internet AG.
The Foundation's work aims to accelerate digital transformation in emerging economies and create positive spill-over effects that strengthen transparency, integrity, and innovation within both private and public sector institutions. To support entrepreneurship ecosystems and foster innovation, the Westerwelle Foundation operates entrepreneurship hubs known as Westerwelle Startup Haus. These hubs are currently located in Tunis (Tunisia), Kigali (Rwanda), Arusha (Tanzania), Mombasa (Kenya), and Accra (Ghana), providing entrepreneurs with access to workspaces, networks, mentoring, and entrepreneurship support programs tailored to different sectors and stages of business development.
The Westerwelle Startup Haus Accra (WSHAC), serves as a collaborative entrepreneurship hub connecting founders, innovators, investors, corporates, universities, and ecosystem partners. Through flexible workspaces, startup support programmes, networking events, capacity-building initiatives, and strategic partnerships, WSHAC supports entrepreneurs in building scalable businesses while strengthening Ghana's innovation ecosystem and fostering collaboration across Africa.
Overview
The Finance & Operations Coordinator supports the smooth financial, operational, and administrative management of Westerwelle Startup Haus Accra. The role combines day-to-day office operations, supplier coordination, financial tracking, procurement, reporting, compliance support, and programme finance logistics.
The Finance & Operations Coordinator works closely with the Country Director, programme teams, accountant, suppliers, and the wider Westerwelle Foundation team.
Responsibilities
Finance & Reporting
- Prepare and update financial trackers, including payables, receivables, budgets, and forecasts.
- Process supplier invoices, customer invoices, and payment follow-ups.
- Support monthly financial reporting by collecting invoices, deliverables, and contracts.
- Submit complete programme financial reports and supporting documentation to the accountant.
- Prepare budget forecasts, update budgets with actual expenditures, track variances against budget, and identify financial inconsistencies or potential risks.
- Prepare bank reconciliations and follow up on pending transactions.
- Support cash flow monitoring and fund request preparation.
- Assist the accountant with financial report reviews and corrections.
Procurement & Supplier Management
- Manage procurement processes by requesting quotations, drafting requests for quotations (RFQs) or tenders, and preparing bid evaluation matrices to ensure transparent and compliant supplier selection.
- Ensure procurement follows donor, programme, and internal procurement policies.
- Maintain and regularly update the supplier database.
- Coordinate with vendors, consultants, and service providers for office operations, events, and programme implementation.
- Collect invoices, contracts, legal documentation, and proof of delivery.
- Upload and organize supplier documentation in Airtable and SharePoint.
Operations & Haus Management
- Ensure the smooth day-to-day operations of the Startup Haus, including meeting rooms, coworking spaces, office facilities, utilities, and visitor support.
- Monitor cleaning, office supplies, stationery, printing, kitchen supplies, and other operational needs.
- Manage office inventory and maintain accurate Airtable records.
- Coordinate maintenance requests related to electricity, internet, air conditioning, furniture, printers, and general repairs.
- Follow up with service providers until issues are fully resolved.
- Support office expansion or workspace setup whenever required.
Programme Finance & Logistics
- Participate in programme planning meetings to anticipate budgets, procurement needs, logistics, and supplier requirements.
- Support budget forecasting for programme activities.
- Coordinate logistics before, during, and after workshops, trainings, and events.
- Collect invoices, contracts, deliverables, participant documentation, and other supporting documents required for donor reporting.
- Support audit preparation by ensuring financial and programme folders are complete and properly organized.
- Respond to donor and internal requests regarding quotations, invoices, procurement documentation, and financial reports.
Compliance & Administration
- Maintain organized financial, administrative, procurement, supplier, and audit records.
- Support compliance with internal policies, donor requirements, and applicable Ghanaian legal and regulatory obligations.
- Prepare and submit required documentation for banks, government authorities, tax-related matters, and international transfers.
- Continuously improve internal financial processes, trackers, and documentation systems.
Qualifications & Experience
- Minimum Bachelor's degree in Finance, Accounting, Business Administration, Management, Economics, or a related field.
- At least 3 years of relevant professional experience in finance, operations, administration, project coordination, or programme support.
- Experience working with NGOs, startup support organizations, donor-funded programmes, or coworking spaces is considered an advantage.
- Fluency in English is required.
- Working knowledge of Twi or other Ghanaian languages is an asset.

- Strong proficiency in Microsoft Excel and Microsoft Office; familiarity with Airtable, SharePoint, or similar digital management tools is an advantage.
