Position Details

Position Title: Operations Coordinator Department: Operations & Visitor Experience Reports To: Operations Lead Location: Al Shindagha Museum, Dubai, UAE Contract Type: Full-Time (24-Month Fixed-Term Contract) Contract Duration: 24 Months (August 2026 – July 2028)

About the Role

BLR WORLD is hiring an Operations Coordinator to support the day-to-day coordination of operational activities across Al Shindagha Museum, ensuring the smooth delivery of visitor services, educational programmes, events, and museum operations. Reporting to the Operations Lead, the Operations Coordinator will play a key role in coordinating staffing, scheduling, visitor activities, operational logistics, reporting, and communication between operational teams and support functions.

The role is responsible for maintaining operational readiness across all museum pavilions, coordinating daily staffing requirements, supporting programme delivery, monitoring operational performance, and ensuring operational information is accurately communicated across departments. Working closely with Chief Cultural Guides, Schools & Groups Coordinator, Venue & Events Coordinator, Programming teams, and Commercial functions, the Operations Coordinator will ensure all daily operations are effectively planned and executed while maintaining exceptional visitor experiences and operational efficiency.

Key Responsibilities

Operational Coordination

  • Coordinate the daily operational activities across all museum pavilions to ensure seamless visitor services and programme delivery.
  • Support the Operations Lead in implementing daily operational plans, staffing deployments, and operational priorities.
  • Ensure all operational areas are fully prepared prior to museum opening, including staffing, equipment, visitor information, and operational resources.
  • Monitor daily operations and proactively resolve minor operational issues before escalation is required.

Staff Coordination

  • Coordinate daily staff schedules, shift allocations, break schedules, and operational coverage.
  • Maintain accurate attendance records, daily deployment sheets, and operational staffing reports.
  • Monitor staff punctuality, attendance, leave requests, and roster changes, escalating concerns to the Operations Lead where necessary.
  • Support workforce deployment during peak visitor periods, special events, and seasonal programming.

Programme & Event Coordination

  • Coordinate the operational requirements for workshops, guided tours, educational programmes, community activities, and museum events.
  • Liaise with the Programs Development Manager and Venue & Events Coordinator to ensure operational readiness for all scheduled activities.
  • Ensure programme materials, equipment, visitor resources, and operational logistics are prepared and available before each activity.
  • Support operational coordination during special events, festivals, VIP visits, and public activations.

Visitor Experience Support

  • Monitor visitor flow throughout the museum and support operational adjustments to maintain a positive visitor experience.
  • Assist in resolving visitor enquiries, operational concerns, and service issues promptly and professionally.
  • Support visitor wayfinding and operational coordination during periods of high visitor demand.
  • Ensure visitor-facing operational standards are consistently maintained across all locations.

Operational Administration

  • Prepare and maintain daily operational schedules, deployment plans, and communication notices.
  • Coordinate operational documentation, checklists, Standard Operating Procedures (SOPs), and operational records.
  • Support inventory monitoring of operational equipment, uniforms, visitor materials, and programme resources. •

Maintain accurate operational files, records, and documentation.

Communication & Collaboration

  • Act as a central communication point between operational teams, programme teams, commercial functions, and support departments.
  • Coordinate daily operational briefings and communicate operational updates to frontline teams.
  • Liaise with internal departments to ensure smooth coordination of bookings, events, educational visits, and operational requirements. •

Support cross-functional collaboration to ensure operational continuity.

Health, Safety & Compliance

  • Support compliance with Dubai Culture operational standards, health and safety regulations, safeguarding procedures, and museum policies.
  • Conduct routine operational inspections and report maintenance or safety issues to the Operations Lead.
  • Ensure operational areas remain clean, organised, safe, and visitor-ready throughout operating hours.
  • Assist with emergency response coordination and incident reporting when required.

Reporting

Prepare and submit operational reports to the Operations Lead, including:

Daily staffing and attendance reports.

Visitor statistics and operational summaries.

Programme and event operational updates.

Incident and maintenance reports.

Visitor feedback summaries.

Operational readiness checklists.

Resource utilisation and inventory updates.

Recommendations for operational improvements.

Required Experience

  • Minimum 3 years' experience in operations coordination, visitor services, hospitality, tourism, museums, cultural institutions, or event operations.
  • Experience coordinating operational activities in a visitor-facing environment.
  • Strong organisational and administrative skills with the ability to manage multiple priorities.
  • Experience preparing schedules, operational reports, and staffing records. •

Excellent communication and coordination skills.

  • Ability to work effectively under pressure in a dynamic operational environment. •

Strong problem-solving skills and attention to detail.

Good working knowledge of Microsoft Office and operational scheduling systems.

Preferred Experience

  • Experience working in museums, visitor attractions, cultural institutions, or heritage sites. •

Familiarity with UAE tourism and cultural environments.

  • Experience supporting educational programmes, events, or public activities. •

Knowledge of workforce scheduling and operational planning.

Additional language skills are advantageous.

Required Education / Qualifications

  • Bachelor's degree or Diploma in Business Administration, Operations Management, Tourism, Hospitality Management, Event Management, Cultural Management, or a related discipline.
  • Professional training in operations coordination, administration, or customer service is desirable.

Location and Commitment

Full-time position.

24-month fixed-term contract.

Working 5 days per week, with flexibility to support operational requirements, seasonal programming, public holidays, special events, and emergency operational needs.

Regular presence across all Al Shindagha Museum pavilions and facilities.

Location: Al Shindagha Museum, Dubai, United Arab Emirates.
