Reporting to the Principal Investigator, the Lab Administrative Manager will provide high-level administrative, operational, and project management support for the Cohn Lab. The Cohn Lab is a growing research group focused on human immunology, HIV persistence and rebound, viral evolution, and longitudinal immune responses in people.

The Lab Administrative Manager will manage day-to-day lab administration, coordinate major lab projects, support the PI’s calendar and meetings, and serve as a central point of contact for internal and external collaborators. This position requires excellent organization, discretion, flexibility, strong communication skills, and the ability to manage competing priorities in a fast-paced academic research environment.

The successful candidate will help build and maintain administrative systems that support the lab’s scientific work, including meeting coordination, project tracking, reporting timelines, communications, onboarding/offboarding, and coordination across Fred Hutch, University of Washington, clinical collaborators, funders, and other external partners.

Responsibilities

Administration and Operations

  • Manage operational and programmatic activities associated with the Cohn Lab.
  • Provide high-level administrative support to the PI and lab leadership team.
  • Manage the PI’s calendar, including scheduling complex internal and external meetings, protecting focused work time, and coordinating follow-up.
  • Organize lab meetings, project meetings, collaborator meetings, retreats, seminars, and special events, including scheduling, room reservations, catering, agendas, materials, minutes, and action items.
  • Coordinate travel arrangements, itineraries, reimbursements, and expense reports for the PI and selected lab activities.
  • Support onboarding, offboarding, and role transitions for lab members, trainees, visitors, and collaborators.
  • Maintain lab administrative records, shared calendars, contact lists, meeting trackers, project documents, and standard operating procedures.
  • Manage lab communications, including internal announcements, collaborator communications, email lists, shared resources, and selected web or intranet content.
  • Build and maintain strong working relationships with faculty, scientific staff, trainees, research administrators, administrative departments, finance and grants teams, and external collaborators.
  • Identify opportunities to improve lab administrative systems and reduce operational burden on the PI and research team.
  • Other responsibilities as assigned.

Project Management

  • Provide project management support for the lab’s major research programs, including longitudinal cohort studies, viral sequencing projects, immune profiling studies, clinical collaborations, and emerging initiatives.
  • Work with the PI, senior staff, project leads, and collaborators to track project timelines, milestones, deliverables, deadlines, and dependencies.
  • Develop and maintain project management tools, including timelines, task trackers, meeting agendas, decision logs, and deliverable calendars.
  • Coordinate recurring project meetings, prepare agendas and materials, document decisions, and follow up on action items.
  • Support coordination of grant-related timelines, progress reports, annual reports, manuscript planning, conference deadlines, and internal review processes.
  • Help ensure that major projects remain organized across multiple teams, institutions, collaborators, funders, and administrative requirements.
  • Anticipate bottlenecks, flag competing priorities, and help the PI and lab leadership maintain visibility across the lab’s scientific portfolio.

Qualifications

MINIMUM QUALIFICATIONS

  • Bachelor’s degree or three years of administrative management, project coordination, or relevant experience, or equivalent education/experience.

PREFERRED QUALIFICATIONS

  • Five years of progressive administrative experience in an academic research, healthcare, scientific, or nonprofit setting.
  • Experience providing administrative support in an academic, research, healthcare, nonprofit, or similarly complex professional environment.
  • Strong organizational skills and demonstrated ability to manage multiple priorities, timelines, and stakeholders simultaneously.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to work independently, exercise sound judgment, and maintain professionalism and discretion.
  • Strong technical skills, including Microsoft Office Suite, Outlook, Teams, Zoom, and shared document systems.
  • Demonstrated experience with project management, tracking tools, process improvement, and coordination of complex multi-stakeholder activities.
  • Experience supporting faculty, scientific staff, trainees, or research teams.
  • Experience coordinating calendars, meetings, travel, reimbursements, seminars, events, and executive communications.
  • Experience with institutional systems such as Workday, Concur, SharePoint, and Adobe Acrobat Pro.
  • Experience supporting grant-related timelines, annual reports, onboarding, personnel actions, faculty affairs processes, or cross-institutional collaborations.
  • Excellent interpersonal skills and ability to interact effectively with internal and external stakeholders, scientists, administrators, trainees, and institutional leaders.

The annual base salary range for this position is from $80,172 to $114,941, and pay offered will be based on experience and qualifications.Although Fred Hutch is not sponsoring most H-1B visas at this time, candidates who already hold an H-1B sponsored by another organization and are currently in the U.S. may be eligible for this position.Fred Hutchinson Cancer Center offers employees a comprehensive benefits package designed to enhance health, well-being, and financial security.
