About the Role As the Administrative Supervisor, you will oversee the end-to-end administrative, policy servicing, renewal, and account management processes. Acting as a key liaison between clients, insurers, and internal teams, you will coordinate policy issuance, renewals, claims, billing, collections, and documentation. Your role will focus on ensuring operational efficiency, data accuracy, and exceptional client experiences, while supporting business development and account retention efforts. Key Responsibilities Sales and Account Management Coordinate with insurers to ensure timely policy issuance and endorsement processing. Review issued policies and endorsements to confirm alignment with placement slips or client requests. Accurately book policies and endorsements in the SAIBA system and prepare them for approval. Ensure timely transmission of policies, endorsements, and billing to clients within 7 days of receipt. Send transmittal and collection emails and follow up on outstanding payments. Proactively remind clients of upcoming policy renewals and prepare renewal proposals for review and approval. Ensure accounts are renewed at least one month prior to expiry and transmit renewal policies and billing within 7 days of client advice. Assist clients with queries, additional needs, and claims facilitation, ensuring adherence to agreed turnaround times. Maintain an updated master list of accounts, including employee, property, and vehicle listings. Monitor receivables and collaborate with the Collections team to ensure timely payments. Administration Accurately encode data in the SAIBA system and maintain up-to-date monitoring forms. Organise and maintain an efficient filing system for both electronic and hard-copy documents. Client Engagement Ensure accurate documentation and a smooth transition for newly acquired clients, coordinating with marketing and business development teams. Be available to address client inquiries, orientations, and other service-related matters. What We’re Looking For Bachelor's degree in Business Administration, Management, Insurance, Finance, Marketing, or a related field. 3–5 years of experience in insurance brokerage, insurance operations, policy administration, account management, or client servicing. Prior supervisory or team lead experience is preferred. Strong understanding of insurance processes, including policy issuance, renewals, endorsements, billing, collections, and claims coordination. Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook. Experience using insurance management systems (e.g., SAIBA or similar platforms) is preferred. Excellent organisational and documentation management skills with strong attention to detail. Strong communication and customer service skills with the ability to build and maintain professional relationships.
