SUMMARY OF POSITION
The Indirect Purchasing Assistant supports the Indirect Procurement Manager of non-production goods and services within a food manufacturing facility. This includes MRO (maintenance, repair, and operations), sanitation supplies, packaging support items, utilities, and facility services. The role ensures timely purchasing while maintaining compliance with food safety standards, cost controls, and operational efficiency.
ESSENTIAL FUNCTIONS

Purchase indirect materials such as cleaning/sanitation supplies, PPE, office supplies, spare parts, and maintenance items
Coordinate services (e.g., equipment repair, pest control, waste management, facility maintenance)
Create, process, and track purchase orders for indirect goods and services
Work closely with Maintenance, QA, Production, and Facilities teams to forecast needs
Ensure all materials and services comply with food safety standards (GMP, HACCP, FDA requirements where applicable)
Maintain vendor records, insurance certificates, and compliance documentation
Request and evaluate supplier quotes to ensure cost-effective purchasing
Monitor inventory levels for critical MRO and sanitation items to avoid production downtime
Resolve issues with deliveries, invoices, or service quality
Support audits by maintaining accurate purchasing and supplier documentation
REQUIRED SKILLS, EDUCATION, AND EXPERIENCE
Any combination of education and experience providing the required skill and knowledge for successful job performance will be considered. Typical qualifications would be:
Bachelor’s degree from a regionally accredited four-year college or university in Business Administration, Marketing, Food Science, or a related field.
Minimum of 3-5 years of sales experience in the food industry, with a focus on customized solutions such as seasonings, sauces, or similar products.
Demonstrated ability to manage and grow customer accounts in the food processing or manufacturing sector.
PREFERRED QUALIFICATIONS
High school diploma or equivalent (Associate’s or Bachelor’s degree preferred in Business, Supply Chain, or related field)
2 years of purchasing, administrative, or supply chain experience (manufacturing preferred)
Strong organizational and multitasking skills
Attention to detail and accuracy
Proficiency in Microsoft Office (especially Excel)
Experience with ERP/procurement systems
Familiarity with MRO inventory and facility purchasing
Ability to manage multiple department requests in a fast-paced production setting
