Job description

The Executive Assistant provides high-level administrative, strategic, and operational support to the Chief Assistant Corporation Counsel, the Chief of Talent and Development, and, on occasion, to other Executives within the New York City Law Department. This position is critical to the effective functioning of the agency and requires a highly disciplined professional capable of operating at the intersection of law, public policy, and city governance. The individual in this role will serve as a project manager for complex workflows, confidential legal matters, executive operations, and intergovernmental communications . The ideal candidate will demonstrate exceptional discretion, sound judgment, political and organizational awareness, strong critical thinking skills, technical proficiency, the ability to thrive in a fast-paced legal environment, and must be a team player. ________________________________________

Key Responsibilities

Executive Support & Strategic Coordination

  • Manage and coordinate the Chief Assistant Corporation Counsel and Chief of Talent and Development’s calendars, balancing competing priorities including court appearances, executive leadership meetings, agency initiatives, and external stakeholder engagements.
  • Prepare briefing materials, legal summaries, talking points, presentations, and background memoranda for high-level meetings and events.
  • Coordinate internal and cross-agency initiatives, ensuring timely follow-up and execution of action items.
  • Serve as a liaison between executive leadership, division heads, City agencies, and external partners.
  • Assist with the preparation and coordination of sensitive, confidential, or high-profile matters assigned to executive staff. Confidential & Legal Administrative Management
  • Handle sensitive and privileged communications with strict adherence to confidentiality protocols.
  • Maintain secure filing systems for legal documents, executive correspondence, policy materials, and confidential records.
  • Track and organize information through spreadsheets, databases, and electronic filing systems. Communications & Public Interface
  • Draft, edit, and manage formal correspondence, memoranda, directives, reports, and executive communications.
  • Manage high-volume communications with professionalism and sound judgment.
  • Answer and direct telephone calls, respond to inquiries, and coordinate communications on behalf of executive leadership. Project & Staff Coordination
  • Lead and support special projects as assigned.
  • Develop and implement systems to improve executive workflow, document management, and operational efficiency.
  • Organize and compile reports on management, operational, and administrative initiatives.
  • Utilize computer applications and internal systems to track high-profile matters and executive initiatives.
  • Coordinate scheduling for meetings involving outside agencies, and Law Department leadership.

Qualifications

  • Bachelor’s degree required; advanced degree or paralegal certification preferred.
  • Minimum of 7 years of executive-level administrative experience, preferably within a government law department, court system, or public agency.
  • Demonstrated knowledge of municipal government structure, legal terminology, and governmental processes.
  • Exceptional organizational skills with the ability to manage multiple high-priority assignments simultaneously.
  • Advanced proficiency in Microsoft Office Suite and document management systems.
  • Excellent written and verbal communication skills.
  • Proven ability to exercise sound judgment in politically sensitive and high-pressure environments.

LEGAL SECRETARIAL ASST- L2,3,4 - 1022A

  • An associate degree from an accredited college including or supplemented by 12 semester credits in secretarial science, word processing, office automation and/or office technology; or
  • An associate degree from an accredited college, and either one year of satisfactory full-time professional general secretarial experience or six months of satisfactory full-time professional legal secretarial experience; or
  • A four-year high school diploma or its educational equivalent approved by a State's Department of Education or a recognized accrediting organization, and either two years of satisfactory full-time professional general secretarial experience or one year of satisfactory full-time professional legal secretarial experience; or
  • Education and/or experience equivalent to "1", "2" or "3" above. Satisfactory completion of a one year specialized training program in secretarial science, word processing, office automation and/or office technology, or completion of 30 semester credits from an accredited college, including 12 semester credits in secretarial science, word processing, office automation and/or office technology may be substituted for one year of full-time general secretarial experience or six months of full-time legal secretarial experience. However, all candidates must possess a four-year high school diploma or its educational equivalent.

Skills Requirement

Ability to type at a minimum rate of 55 words per minute. For assignments requiring stenographic skills, candidates must also have the ability to take legal dictation. For certain assignments, individuals may be required to have higher typing and stenographic skills.
