Job description
The HR Coordinator supports the Human Resources department by handling administrative tasks, coordinating recruitment, maintaining employee records, and ensuring HR processes run smoothly. This role is crucial in delivering efficient HR services and fostering positive employee experience.
Duties and responsibilities
- Coordinate recruitment and hiring processes for both internal and external applicants in accordance with collective agreement
- Schedule interviews, conduct reference checks, and assist with candidate screening
- Prepare offer letters ensuring alignment with classification, wage grids, and other union requirements
- Maintain accurate and confidential employee records in compliance with privacy legislation
- Maintain staff credential tracking (e.g., certifications, background checks, licenses)
- Assist with payroll, benefits administration, and timesheet maintenance and respond to employee inquiries
- Coordinate staff work schedules for all program worksites
- Provide administrative support for grievance processes, investigations, and disciplinary procedures
- Assist managers with interpreting and applying the collective agreement
- Prepare documentation for labor relations matters (e.g., grievances, meetings, correspondence)
- Support scheduling and coordination of labor-management meetings
- Support training initiatives, including trauma-informed care, cultural competency, and workplace safety
- Promote diversity, equity, and inclusion (DEI) practices within HR processes
- Support employee engagement and wellness initiatives to reduce burnout and improve retention
- Prepare HR reports and assist with audits, funding requirements, and compliance documentation
- Assists with HR related tasks as requested.
Qualifications and Competencies
- Diploma or degree in Human Resources, Business Administration, Social Services, or related field
- 1–3 years of HR or administrative experience (experience in unionized environments strongly preferred)
- Proficiency with Microsoft Office and HRIS/payroll systems
- Working knowledge of BCGEU collective agreements and labor relations practices
- Familiarity with BC employment legislation and WorkSafe requirements
- Proof of clean criminal record check.
Working conditions
This position requires the Human Resources Coordinator to work a full-time schedule within the business hours of IDM Youth Services.
The noise level of the work environment is usually quiet to moderate.
Physical requirements
While performing the responsibilities of the Human Resources Coordinator the employee is required to communicate with a variety of audiences. The employee will be required to use their hands and fingers for technology use.
