Job description

Location: Nairobi Department: Operations / Fleet Management Reports To: Operations Manager / General Manager Job Purpose The Workshop Manager is responsible for planning, coordinating, and supervising all workshop operations related to the preventive and corrective maintenance of the company's fleet of trucks, heavy commercial vehicles, light vehicles, trailers, and related equipment. The role ensures maximum vehicle availability, compliance with safety and regulatory standards, cost-effective maintenance practices, and efficient management of workshop personnel and resources. Key Responsibilities Workshop Operations • Manage the day-to-day operations of the workshop to ensure timely servicing, repairs, and maintenance of all company vehicles. • Develop and implement preventive maintenance schedules to minimize breakdowns and maximize fleet availability. • Prioritize repair jobs based on operational requirements and vehicle condition. • Ensure all maintenance work is completed within agreed timelines and quality standards. • Conduct regular inspections of vehicles to identify maintenance needs and safety concerns. • Monitor Fuel dispatch. Fleet Maintenance • Oversee maintenance of: o Heavy-duty trucks o Tankers and trailers o Light commercial vehicles o Passenger vehicles o Generators and auxiliary equipment (where applicable) • Diagnose recurring mechanical issues and implement long-term corrective actions. • Monitor vehicle performance and maintenance history. Team Management • Supervise mechanics, auto electricians, welders, technicians, and workshop support staff. • Allocate work effectively based on skills and workload. • Conduct performance evaluations and provide coaching and technical guidance. • Identify training needs and promote continuous skills development. • Foster a culture of teamwork, accountability, and continuous improvement. Inventory & Spare Parts Management • Manage workshop inventory, spare parts, lubricants, tyres, and tools. • Maintain optimum stock levels while controlling inventory costs. • Coordinate with procurement for timely sourcing of genuine spare parts. • Monitor supplier performance and recommend approved vendors. • Ensure proper storage and issuance of workshop materials. Budget & Cost Control • Prepare and manage the workshop maintenance budget. • Monitor repair costs and identify opportunities for cost reduction. • Analyse maintenance expenditure and recommend efficiency improvements. • Control overtime, fuel usage, and workshop consumables. Health, Safety & Compliance • Ensure compliance with occupational health and safety regulations. • Maintain a clean, safe, and organized workshop environment. • Ensure proper use of Personal Protective Equipment (PPE). • Investigate accidents and implement corrective actions. • Ensure compliance with Kenyan transport, environmental, and workplace safety regulations. Documentation & Reporting • Maintain accurate maintenance records for every vehicle. • Prepare daily, weekly, and monthly workshop performance reports. • Monitor: o Vehicle downtime o Fleet availability o Maintenance costs o Fuel efficiency trends o Breakdown frequency • Maintain service history and statutory inspection records. Quality Assurance • Ensure repairs meet manufacturer specifications and company quality standards. • Conduct final inspections before releasing vehicles to operations. • Monitor workmanship and ensure customer (internal department) satisfaction. • Ensure cleanness of vehicles Vendor & Contractor Management • Coordinate with external garages and service providers when required. • Evaluate contractor performance and ensure work quality. • Negotiate service contracts and maintenance agreements. Continuous Improvement • Implement best practices in fleet maintenance and workshop management. • Recommend improvements in maintenance processes and equipment. • Drive initiatives to improve fleet reliability and operational efficiency. Requirements Qualifications • Diploma or Bachelor's Degree in Mechanical Engineering, Automotive Engineering, or a related technical field. • Professional certifications in automotive or heavy vehicle maintenance are an added advantage. Experience • Minimum 10+ years of experience in fleet or heavy vehicle maintenance. • At least 7+ years in a supervisory or managerial workshop role. • Experience managing heavy commercial trucks, trailers, and mixed vehicle fleets. • Experience in the construction, logistics, transport, manufacturing, or industrial sectors is preferred.
